CEE has an excellent opportunity for a well-qualified and high-performing candidate interested in serving as our Diversity, Equity and Inclusion (DEI) and Outreach Coordinator (DEI Program Coordinator). Reporting to the CEE Student Services Manager, the DEI Program Coordinator provides support for strategic planning, implementing, and evaluating initiatives outlined in our DEI Committee Roadmap, with particular emphasis on programs that primarily enhance DEI for faculty (~40), students (~450) and staff (~20). This position will provide general administrative support to our graduate (8) and undergraduate (3) programs, including recruiting and outreach.
This position will merge administration of DEI programming for the CEE department with student services and support. The successful candidate will have a deep knowledge of societal inequities and best practices for enhancing diversity (through recruitment and retention) in an academic environment. DEI programming will include recruiting, mentoring and skill building for students, staff, and faculty; helping CEE strengthen our community and embrace inclusion as part of our culture; and facilitate safe reporting mechanisms for all CEE members. The CEE DEI Committee will work closely with the DEI Program Coordinator on all of these programming elements. In addition, this position entails providing support to students in one-on-one consultation, and having a comprehensive knowledge of resources to address a variety of student concerns.
Duties include, but are not limited to, the following:
40% Coordinate DEI Programming, Initiatives, Events
Under direct supervision, provide administrative support for the DEI Committee and the Student Services Team
Assist with ongoing coordination of the programming, training, and activities related to DEI
Create, gather, analyze, and/or interpret a wide variety of quantitative and qualitative data from DEI-related surveys, and other data sources. Create oral and written reports for varying audiences.
Conduct and support DEI-related skill building and educational programs, including maintenance of records of training activities, employee progress, and program effectiveness
Under general supervision, prepare emails, presentations, and other communication materials (i.e., newsletters, brochures, manuals, promotional information, etc.) related to DEI initiatives and/or Student Services
Coordinate and arrange for meetings, skill building sessions, and special events of various sizes
Coordinate and promote outreach to external groups
Support and participate in DEI focused recruitment and retention efforts for students, faculty, and staff
Serve as point of contact for DEI and Outreach groups
Arrange tours and planning for prospective undergraduate and graduate student visitors
Collaborate with various committees, other departments and coworkers to plan successful, inclusive events
Seek out and schedule DEI workshops for members of the CEE community offered by Rackham, Organizational Learning and other university units
Update event information in shared files, including what went well and what could have gone better for continuous improvement
Work with student leaders to update student event information regularly to share with future student leaders
Make p-card purchases according to U-M policies and departmental guidelines
30% Student Support and Departmental Outreach
Organize recruitment events, commencement reception, homecoming luncheon, professional development series, and other events as needed within Student Services
Organize graduate student mentoring program, including identifying mentors, pairing them with incoming students, scheduling training, and soliciting feedback for continuous improvement
Be a resource regarding available processes for addressing student concerns, particularly those which may arise in the DEI space
Schedule rooms, speakers, catering, etc.
Create itineraries, flyers, email reminders and other forms of communication
Primary contact for reserving classrooms and conference rooms
Verify changes to CoE and/or Rackham Bulletins
Issuance of standard letters for Master’s and Ph.D. students
Assist with maintenance of all student files
Coordinate Undergraduate Research Projects, including such programs as UROP, SROP, SURE, and SHIP
Support UG and Graduate Student Councils
Assist student organization officers with meetings, career fairs, mailings, and brochures
Host student organization training sessions/orientations in conjunction with CoE
Update student profiles and photo boards annually
Support UG and Graduate Exit Interviews and Evaluations each term
15% Maintain communications regarding DEI and Outreach
Coordinate with Marketing Specialist regarding updates to CEE, DEI or Strategic Planning websites using project management principles to identify, track and complete tasks in a timely manner
Using a content management system (e.g., WordPress), and coordinating with the Marketing Specialist, create and maintain web pages. Coordinate DEI related social media content. Seek out stakeholder feedback for website and social media improvement and enhancements.
Help elevate the use of website and IT for student contact
Work with appropriate committees and staff to create and distribute marketing materials
Work with Marketing Specialist to use social media (Instagram, Twitter, etc.) and make recommendations for enhanced social media strategy
Review text or content of marketing materials as the DEI resource and partner
Participate in staff development training sessions, faculty/staff meetings, and other venues for learning and sharing information
Coordinate with Rackham Graduate School on student recruitment, retention, and their strategic plan to enhance DEI in our graduate programs
Actively participate on the CEE DEI Committee, sharing knowledge, skills and abilities with others
In conjunction with the faculty chair, serve as the co-lead of the DEI Committee; schedule meetings, prepare agendas, take minutes, manage M-Box site, and prepare presentations
Interact with all DEI sub-committees to manage information and events sharing and ensure transparency of processes
Develop metrics to measure the success of recruiting, events, special programs, etc.
Build rapport with students, faculty, staff, and prospective students; gain the trust of faculty
Collaborate and network with others in similar roles within CoE and UM to learn and share best practices for efficiency, effectiveness, reducing liability, etc.
Capture policies, procedures and processes in writing to share with faculty, staff, students, new hires, colleagues, etc. to improve consistency/transparency of practices, train new faculty/staff, cross-training within our department
Utilize project management principles and practices consistently to stay organized and on-task while juggling multiple priorities and diverse stakeholders
The successful candidate must possess:
Bachelor’s degree or an equivalent combination of education and experience
Minimum two to three years of prior experience performing work related to diversity, equity and inclusion
Demonstrated ability to work successfully in a team environment as well as work independently with minimal supervision
High level of proficiency with information technology applications including MS-Office and Google collaboration tools (spreadsheets, word processing, calendars), M-Box and web management (Word Press)
Intermediate ability to compile, analyze and report statistical data
Outstanding interpersonal skills and ability to work with a diverse group of students, faculty and staff
Demonstrated ability to understand a variety of viewpoints and foster opportunities in a multicultural and collaborative environment
Excellent organizational skills, particularly related to managing projects/events, and demonstrate initiative
High level of critical thinking, problem solving, and decision-making
The ability to set priorities and handle multiple assignments and deadlines
Learn quickly and stay calm in the face of concurrent tasks with competing deadlines
Display excellent judgment while operating in a flexible and highly professional manner
Be capable of performing with a high degree of attention to detail and accuracy
Show the desire/ability to identify opportunities for streamlining processes, procedures and duties
Be flexible to occasionally adjust hours to host and/or attend student events
Experience in a higher education setting working with and/or mentoring graduate students
Reasonable knowledge of UM policies and procedures, particularly relating to Student Services, Human Resources, and FERPA regulations
Master’s degree in Higher Education, Student Affairs, Social Work, or a related field
Proficiency with data mining and reporting
Excellent computer skills including website management and social media
International experience and second language preferred
