Job Description Summary Under the direction of the University Registrar, the Associate Registrar provides managerial and administrative oversight to assigned functions and operations of the Registrar's Office. The Associate Registrar takes the lead in the adoption, training and testing of technology within the Registrar's office, most specifically with Workday Student.
Responsible for all aspects of the National Clearinghouse i.e.: submission dates, file preparation and processing and cleaning errors.
Act as lead for Registrar's office for working in a test environment on office technology, with particular accountability for Workday Student. Assess new features of Workday, address regular system updates and be able to troubleshoot in the production environment. Ability to train and direct other Registrar's staff on Workday capability and functions and assist with rollout of new features in Workday in partnership with IT. Learn how to run a variety of Workday reports to support Registrar office functions and requests from faculty and administration.
Working with the Registrar, review all necessary student registration updates including prerequisites and course tags. Troubleshoot issues for students, Academic Services staff and faculty members as related to the registration and waitlist processes.
Supervise 2-3 Registrar's office administrative staff who are tasked with a variety of functions within the office.
Continuously review, improve and find efficiencies for processes within the Registrar's Office in order to provide outstanding customer service to students, faculty, staff and alumni.
Oversee compilation of documentation of office processes and procedures and maintain information and documents in SharePoint.
Oversee processing of leaves of absence and withdrawals from the university in a timely and consistent manner. Reactivate (rehydrate) students who are returning from a leave of absence or suspension in Workday.
Charged with executing the incomplete to F process. Convert all incomplete grades to F's twice yearly immediately after the deadline has passed. Run report of students with incomplete grades at the beginning of each semester for Academic Services for follow-up with students.
In coordination with the Registrar and other senior staff, manage degree verification process for all degree conferrals, both graduate and undergraduate, three times yearly. Prepare graduation lists for review and conferral by Board of Trustees.
Work with Conference and Events on academic aspects of Commencement.
Supervise the review of major and minor declarations submitted in Workday and the approval process.
Lend assistance to course creation and updates in Workday.
Participate in university task forces, committees and working groups as needed
Bachelor's degree plus 5-7 years' experience in a college or university Registrar's office or similar academic setting
At least two years of supervisory experience
Outstanding organizational skills with the ability to examine office processes and procedures for the most efficient utilization of staff, technology and resources
Excellent attention to detail and accuracy of information within a fast paced environment
Ability to quickly adapt to new technology, the subsequent upgrades to technology and ability to train other staff members to use technology.
Experience working in an educational setting requiring regular interaction with a variety of departments and people including students, faculty and staff
Ability to be flexible and juggle multiple priorities
Previous work in higher education
Experience with Workday or other student information system (Banner, Colleague, etc.)
Expertise in Microsoft Office with particular emphasis on Excel
Normal office environment.
Busy, hectic, customer service related atmosphere involving frequent interruptions.
Occasional evening hours are required
