Job Summary/Basic Function: GENERAL DESCRIPTION: Reporting to the Director of Administrative Services in the Facilities Management Department, the Work Control (WC) Supervisor is the primary customer focal point between the university and the Facilities Department. This position is responsible for the overall management of the department's Computerized Maintenance Management Software (CMMS). In this role, they assist in the supervision and control of departmental workflow and work order data collection. The WC Supervisor is responsible for training Facilities staff on the use of work control software and providing a central focal point for Facilities customers in addressing needs and resolving complaints. This individual also assists supervisors in the management of their total workload, which includes but is not limited to generating deferred maintenance reports, monitoring delinquency reports, active work orders and scheduled preventive maintenance.
Provide leadership and supervision to assigned direct reports.
Maintain an accurate Computer Maintenance Management System (CMMS) that records, stores, and retrieves repair and maintenance activities for campus facilities and ensures proper maintenance is given to equipment and building systems as required.
Oversee the collection, classification, prioritization, distribution and completion of all campus work requests for Facility Maintenance, Campus Services and Custodial sections.
Provide prompt customer support to campus customers, by satisfying requests and resolving complaints.
Manage customer key requests in accordance with established university policies
Develop an effective and efficient staff by hiring qualified applicants, training personnel to departmental standards, assigning work appropriate to employees' capabilities, and evaluating performance.
Provide IT related technical training and support to Facilities personnel. Act as an IT liaison between Facilities and IT to resolve hardware, software and network problems.
Coordinate/communicate with campus customers and outside agencies during outages, or other inconveniences or occurrences.
Determine the need and provide training to develop the highest level of staff competency.
Contribute to the overall success of the Department of Facilities Management by performing all other duties and responsibilities as assigned.
Education/Experience: An Associate degree in business or related field is preferred, but a strong background in workflow management or facilities management will be considered. Some supervisory experience is preferred. Experience with workflow management processes and/or software is required. This position requires knowledge of scheduling methods as well as a demonstrated commitment to customer service.
Skills: Strong interpersonal skills; must have exceptional written and verbal communication skills Advanced computer skills and knowledge of database operations Requires a broad knowledge of work control processes & organizational structures Must possess the supervisory skills required to supervise up to three employees Must be able to work under pressure while displaying a high degree of tact and professionalism in dealing with customers and maintenance personnel Must have the ability to apply sound judgement and management skills when working toward departmental objectives, process improvements, resolving difficult work situations and customer complaints Must have the skills required to work within established guidelines, in addition having the initiative, imagination and sound judgement to work with considerable independence
OTHER REQUIREMENTS: Possession of valid vehicle operators license. Must have a clear driving record to become insurable to drive university vehicles. Must have a clear criminal history background to serve in this security sensitive position
