Administrative Services Manager

About the Department:
The CEHD Office of Student and Academic Affairs (SAA) supports the teaching, scholarship, and service missions of the College by onboarding new students, facilitating enrollment and retention, addressing barriers to success, adjudicating appeals and grievances, awarding scholarships, coordinating enrichment activities and celebratory events, such as the student research symposium and graduation, and providing students with a broad range of informational, advising, professional development, financial, and support resources. Further, SAA advises College and University faculty and staff on academic policies and procedures, complex student matters, instructional challenges and pedagogical enhancements, curricular development, course scheduling, and integrity and compliance efforts. The Administrative Services Manager, reporting to the Assistant Dean for Student Success, will be responsible for execution of the following functions:
Performing administrative duties such as processing exceptions to academic policies and procedures; maintaining a log of all academic actions; updating student listservs; and reconciling Purchase Card (P-Card) transactions;
Managing first impressions and front desk, customer/client services operations (scheduling appointments, answering phones, greeting guests, managing check-in system) and supervise student workers;
Coordinating CEHD scholarships, including development and solicitation of applications, management of review processes, and processing of awards;
Providing administrative support to the Associate Dean for Student and Academic Affairs, the Assistant Dean for Academic Affairs, and the Assistant Dean for Student Success, specifically: scheduling meetings; organizing files, notes, and records; coordinating travel arrangements; and assisting with special projects and miscellaneous tasks;
Maintaining the office condition, arranging for necessary repairs and organizing office operations and procedures;
Planning trainings, retreats, well-being activities, and socials for the CEHDSAA office staff;
Performing administrative duties such as initiating electronic hiring transactions, coordinating open position searches, and assisting in the onboarding process for new hires;
Supporting CEHDSAA staff with student success projects, activities, events, and initiatives.
Bachelor's degree, or an equivalent combination of education and experience;
Demonstrated experience providing administrative support to professional staff;
Demonstrated experience performing office functions such as answering multiline phones, scheduling appointments, and greeting and assisting visitors;
Ability to develop and maintain databases and spreadsheets;
Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel);
Demonstrated experience planning meetings, activities, and/or trainings for professional staff;
Strong attention to detail and problem-solving skills;
Ability to adapt to changes in a fast-paced work environment;
Excellent customer service skills;
Excellent time management skills and strong ability to multitask and prioritize;
Excellent verbal, interpersonal, and written communication skills.
Experience using a Purchase Card (P-Card) and an e-procurement system for goods and services, such as eVA;
Experience working in a higher education environment with diverse populations;
Experience using Ellucian Banner Finance and Banner Student, Educational Advisory Board (EAB) Student Success Collaborative/Navigate, or customer relationship management (CRM) systems, such as Salesforce.
Salary: Commensurate with education and experience.
