NPHS: STEM GRADUATE PROGRAMS

POSITION SUMMARY:

Through academic advising and retention activities, the Student Services and Program Coordinator (PC) for STEM works hand and hand with current and prospective STEM students to assist them in monitoring their degree progress and facilitates registration and program changes. The SSPC performs academic advising for Academic Registration events and assists the Admissions team in recruitment of students, maintains student files and assists in identifying high alert students. Upon student admission, the SSPC is responsible for student onboarding and the facilitation of New Student Orientation. The SSPC reports to the Associate Dean of the Division of Natural, Physical and Health Sciences.

ESSENTIAL FUNCTIONS:

• Serve as the direct liaison between faculty, students and various administrative offices at Vanguard University.
• Conduct academic pre-advising for all students within the Computer Science and Biotechnology graduate majors including special academic plans for those who are 4+1 accelerated program students and pursuing interdisciplinary studies as an undergraduate or seeking post-graduate studies.
• Assign students to faculty advisors.
• Monitor student academic persistence and progression with goal of increasing overall retention and completion rates.
• Communicate with students to ensure timely registration.
• Assist students, as needed, in registration for classes through the MyVU (Colleague), Degree Tracker (Ellucian’s Student Planner) and Early Alert Advise (Ellucian) systems.
• Develop and perform exit interviews.
• Facilitate the process and act as a liaison between students and faculty for Letter of Recommendations.
• Work in conjunction with Financial Aid, Registrar, and Office of Accounting Operations in to ensure highest level of student service is delivered.
• Provide general financial aid and financial registration information as needed.
• Work with the Academic Resource Center’s team and the Associate Dean in the development, organization and facilitation of New Student Orientation and other onboarding activities.
• Maintain the 4-year Plans and student checklists for all academic STEM departments.
• Develop and maintain bulletin boards of import to STEM students and faculty including but not limited to: research opportunities, GRE, DAT, OAT, and MCAT exam dates and study information, graduate and professional school information.
• Develop recruitment and informational material in conjunction with Admissions and Marketing for the STEM programs under the supervision of the Associate Dean.
• Monitor weekly major reports and generate minor reports.
• Maintain appropriate administrative records as deemed necessary by the program and other ancillary offices.
• Assess the quality of the STEM programs with Associate Dean, Faculty, Chairs, staff, students and administration.
• Collaborate with appropriate offices to facilitate meetings and special events (i.e. SURP Symposium, STEM Bridge events); schedule and coordinate event dates and times, venue, attendance, agendas and facilities; take minutes and provide administrative support and follow-up on matters arising from meetings.
• Plan, research, and coordinate special projects; track evaluation surveys in conjunction with the program evaluation plan; and research/analyze specific operational procedures and problems as necessary.
• Enhance professional growth and development through participation in educational programs and workshops.
• Facilitate communication with students, faculty, the community and the public with social media.
• Perform other related duties as assigned.
