Dept Marketing Statement University Relations supports the teaching, research, and public service of UC Santa Cruz by making and keeping deep, heartfelt connections. The Finance group within University Relations is the office for the fiscal administration, financial reporting, and investment accounting for the University Relations Division and UC Santa Cruz Foundation. Donor Relations focuses on creating an exceptional donor experience to strengthen the foundation for continued engagement with and investment in our University. Donor Relations develops and executes systems, plans, and tools in partnership with leadership and frontline fundraising to communicate to our donors the impact of their gifts and the importance of their relationship with UC Santa Cruz.

Under the supervision of the Director of Finance, incumbent assists with planning and implementing a comprehensive program for tracking gift and endowment funds to ensure that they are managed, reported on, and spent appropriately. The incumbent will perform financial analyses and prepare reports for endowments and gifts; act as compliance officer to assist campus officials, ensuring the appropriate use of endowment expendable allocations in accordance with gift agreement terms; create and maintain tracking databases; and communicate endowment and gift information to campus administrators and staff. Additionally, this position provides support to Foundation and divisional accounting staff.
The incumbent assists Donor Relations management in the execution of comprehensive campus-wide donor acknowledgement, recognition, and reporting initiatives to strengthen donor engagement and philanthropic support to UC Santa Cruz. The incumbent will lead efforts to provide financial data, donor data, and donor research as needed for all members of the University Relations team with special emphasis on annual endowment fund reporting initiatives. A highly visible and responsible position, the incumbent provides administrative support to Donor Relations management while representing the University Relations to a diverse constituency.

Job Duties 40% - Data Management:
Develops and maintains comprehensive and accurate databases to monitor stewardship of the campus's endowed and gift funds and tracks donor reporting. Enters all new endowments or changes to endowments into general ledger and endowment database.
Performs financial analyses on all gift and endowed funds to track current use fund activity.
In coordination with Director of Finance, ensures that UC Santa Cruz meets its legal obligation to fulfill gift terms, expend gift funds consistent with gift/donor terms, and is in compliance with UC and UC Santa Cruz policies.
Works with UR staff to automate and improve gift and endowment processes and reporting.
40% - Financial Analysis and Reporting:
In coordination with the Director of Finance and Donor Relations management, serves as resource for University administrators, faculty, department administrators, and development officers relating to the stewardship of endowed and gift funds.
Prepares Fund Stewardship Reports and Fund Reviews that provide campus leadership with filled/unfilled endowed chair fund reports, prepares and analyzes current use fund activity, and performs unit reviews for gift funds upon request by campus leadership and unit officers.
Prepares Accumulated Income Reports that identify endowment and current use funds with accumulated income. In coordination with the Director of Finance, reports are provided to members of campus fiscal leadership.
Prepares Annual Endowed Fund Reports to donors on the financial status and impact of endowed funds.
Coordinates annual endowment payout process. Reviews draft report created by Director, distributes report to campus recipients for their review and corrections, tracks requested changes and integrates changes into databases, submits revised endowment distribution data to Regents office and Foundation controller.
20% - Administrative Coordination and Special Projects:
Serves as point of contact for all constituents of Donor Relations with questions regarding gifts and endowments. Serves as primary customer service contact for incoming emails, phone calls, and other inquiries. Oversees annual Donor Relations projects including year-end giving statements, pledge reminders, and holiday cards from the Chancellor. Provides support and back-up to Foundation Accountant and UR Divisional Financial Analyst. Other duties and projects as assigned.
Bachelor's degree in related area and / or equivalent experience / training.
Excellent interpersonal skills and the ability to communicate effectively with a diverse group of individuals in a diplomatic and professional manner and a strong commitment to customer service, open communication, and a team environment.
Resourcefulness in finding appropriate solutions to problems and initiative in presenting alternatives and implementing solutions to ensure effective change.
Ability to organize and follow through with complex tasks, anticipate problems and take necessary action to eliminate or mitigate potential negative effects and to meet deadlines.
Ability to be flexible in working independently as well as collaboratively with University Relations staff, as well as faculty and staff campus-wide to achieve defined goals.
Possess traits of good judgment, confidentiality, and discretion in communicating with colleagues and constituents, and personal integrity sufficient to maintain security of university funds and records.
Organizational and time management skills sufficient to independently establish priorities, coordinate and complete competing tasks within established deadlines despite frequent interruptions.
Proven experience maintaining accurate databases and generating thorough and accurate reports by locating, extracting, and analyzing financial and non-financial data from a variety of sources, to accurately interpret that data, and arrive at conclusions regarding appropriate responses.
Proven ability to use MS Office Suite, electronic mail, database programs, and general ledger systems at a high level of sophistication.
Demonstrated ability to analyze and reconcile complex financial data within time-sensitive constraints and competing priorities in a highly complex, multi-department environment.
