The Collaboration Core has an outstanding opportunity for a NRT:AQET and QuantumX Program Manager.
The position is the lead administrator for UW QuantumX and the NSF Accelerating Quantum-Enabled Technologies Graduate Programs, responsible for developing new program policies and procedures related to student funding and awards, assignment of projects, and reporting. The position independently manages all aspects of the program and works directly with leaders of QuantumX and UW units to ensure the long-term sustainability of NRT:AQET and leads strategic planning for the program. The individual in this position serves as the primary administrative representative of the AQET program and works with a wide variety of constituents including faculty, staff, students, industry project leads, NSF program managers, external Advisory Board, and external evaluators.
NRT Program Management & Reporting •Lead process to develop long-term plan and funding model to ensure sustainability of the program. •Serve as liaison between students, faculty and staff within the Institute, participating departments and colleges, and industry project leads. •Establish and lead coordination of graduate diversity recruiting program and associated events and activities. •Establish and maintain system for tracking trainee milestones. Advise trainees of upcoming deadlines and ensure deadlines are met. •Administer Project Based Learning process; establish and maintain process for intake, revision, and selection of projects by NRT fellows. •Coordinate evaluation schedule and collection of external evaluator data. •Manage mentoring plans and assist in mentoring NRT fellows. Work with PI to resolve placement issues and change requests. •Management and coordination of external (capstone) opportunities for the NRT fellows. •Manage NRT website. •Manage all aspects of reporting to the NSF and UW, maintaining appropriate records and databases to ensure long-term quality and accessibility of data. •Identify metrics and manage collection of statistics, report data, and provide analysis for program demand, admissions trends, progress of current students, graduation and initial employment, etc. Coordinate surveys, social media, and other methods of gathering information. •Establish and maintain system for tracking grant milestones, report deadlines, and other program deliverables. Work with PI to ensure all milestones, timelines, and requirements for the grant are met. •Write content for reports, translate scientific content for reports and news articles, and develop appropriate images and charts; and establish a communications plan to ensure internal and external audiences are informed of the program’s accomplishments. •Develop content and images about the NRT program and work to ensure placement in UW, QuantumX, and other media outlets.
UW QuantumX Management and Programming •Coordinate and catalog all on-campus courses related to QIST. •Solicit regularly and promote research by QuantumX researchers. •Maintain internship database in QIST. •Manage spending on QuantumX budget, using PCA codes to track spending; dynamically adjust budget throughout the year to ensure spend-down, efficient use of funds, and maximized opportunities. Independently make decisions about supporting programs and activities under $1K and report regularly to the QuantumX co-chairs. •Maintain library of info sheets, presentations, and other written materials relevant to QuantumX and AQET programs; establish review process for proofing to ensure quality publications. •Assist with surveys, reports, and writing and implementation of educational programs connected with external grants and contracts relevant to QuantumX’s mission.
Scheduling and Other Duties •Oversee coordination of the AQET Seminar Series and QuantumX co-sponsored seminars. Lead responsibility for coordinating seminar schedule and communication with speakers; oversee execution of travel arrangements, meeting schedule, serving as a campus guide, conference room reservations, purchasing food and catering, distributing announcements, and documenting processes. •Keep PI apprised of meeting dates and appointments and provided necessary supporting materials in a timely manner. Issue reminders and notifications of important commitments and ensure that all official obligations are met. Manage AQET PI’s calendar. •Organize and coordinate quarterly QuantumX steering committee meetings. •Schedule and coordinate AQET Advisory Board meetings and other program related meetings and community-building events as requested; prepare agenda; take meeting minutes and prepare briefings and meeting summaries. •Other duties as assigned.
REQUIREMENTS: • Bachelor's degree in Business, Communications, or related field. • At least two years of administrative program management and/or advising and counseling experience, preferably in higher education. • Must demonstrate excellent verbal and written skills, computer skills, and ability to work both independently and as part of a team. • Strong organizational, task-management and prioritization skills. • Equivalent education/experience may substitute for stated requirements.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED EXPERIENCE • Technical background or knowledge of engineering and science curriculum, including subdisciplines related to quantum information science and technology. • Experience developing and maintaining web site. • Familiarity with University of Washington policies and procedures. • Experience working in academic environment and a service-oriented organization. • Experience executing programs in the areas of student services. • Demonstrated ability to relate to diverse populations of students, faculty and staff.
