This position is in the Department of Emergency Medicine. The position is located at Renard Hospital. This position is for the Medical School Campus.
Provides support for lead administrative faculty and staff. Works closely with the department leadership team for the faculty promotion processes and maintenance of faculty profiles. Assists in the planning and maintenance of assigned fellowships, as well as providing administrative support for various divisions within the Department of Emergency Medicine.
PRIMARY DUTIES AND RESPONSIBILITIES:
Provides administrative support to the Clinical Chief and lead administrative faculty and staff including complex calendar management, scheduling meetings, arranging travel and overseeing daily desk activities. In addition, there will be interaction with high-level hospital management and external executive level personnel.
Supports the Director of Faculty Development through high-level oversight of the Washington University Profile System. Ensures WUPS is current, works closely with faculty to meet promotional deadlines, and coordinates all required documentation in line with department and school requirements. Uses system reports to manage process and inform Director of timelines and deficiencies.
Assist in the development and ongoing management of assigned fellowships. Provides curriculum support, scheduling and timely reporting of all fellowship requirements.
Administratively supports associated faculty within the Division of Ultrasound, Ultrasound Fellows, MoBap faculty, and APP providers by coordinating lectures, drafting documents, and scheduling/travel.
Responsible for AIS Procard transactions, check requests, travel advances, expense reports,invoices and inter-departmental invoices. In addition, prepares financial reconciliations, budget and operational reports and analyses reflecting progress, adverse trends and appropriate recommendations or conclusions for the various divisions and faculty supported.
Learns the University’s new HR and General Ledger software system (MyDay/Workday).
Performs other duties assigned.
High school diploma or equivalent high school certification.
Two to four years of experience in office management, preferably with supervisory and budget management responsibilities. Appropriate education and/or experience may be substituted on equivalent basis.
Bachelor’s degree in a business related field is strongly preferred.
Proficient in Excel, Word, and Powerpoint.
Experience in a medical, research or education environment.
Excellent customer service skills.
Strong organizational skills and ability to multi-task.
Ability to prioritize work and act in an independent nature.
Professional appearance and excellent communication skills.
Attention to detail.
The hiring range for this position is $21.18 - $26.99 per hour.
