Job Description Summary This position reports directly to the Senior Associate Director and Operations Manager for the Pulsifer Undergraduate Career Development Center (UCD) with a dotted line reporting relationship to the Senior Associate Director, Pulsifer Employer Relations and Recruiting (ER/R). Primary responsibility is to provide daily administrative support for Undergraduate Career Development (UCD) Team (75%) and assist the Employer Relations/Recruiting (ER/R) team (25%). The Executive Administrative Coordinator serves as first point of contact for internal and external constituents (students, alumni, faculty, staff, and employers); manages all administrative functions such as scheduling student appointments, keeping track of appointment and workshop data, and handle procurement needs. Within the role of assisting ER/R team, job functions will include posting jobs and internships; assisting with greeting employers during on campus interviews; scheduling employer lunches in faculty dining room; and assisting with planning of two large campus-wide career fairs.
Provides administrative support for Undergraduate Career Development Team. This includes but is not limited to the following: help with scheduling and tracking student appointments; manage all in-coming queries via phone, email and in-person; track employer and alumni engagement as it relates to UCD team and ER/R team; assist with corporate and vendor invoicing and tracking; purchasing office supplies; scheduling department staff meetings and taking and sharing notes from meetings; and coordinating campus wide guests.
Additional responsibilities may include drafting newsletters, updating web, marketing materials, coordinating student support, and keeping track of final student placement reports.
Provide room booking and catering orders for UCD events and ER/R; Liaises with The Conference Center to provide room scheduling and media services.
HS Diploma or G.E.D. equivalent and 2 - 4 years experience; Bachelors degree preferred with 1 year of relevant work experience
Knowledge of event planning and Microsoft Office - Outlook, PowerPoint and Excel
Willingness and ability to learn and master new technology and platforms
Excellent communication skills (verbal and written) required
Self-starter and ability to work independently
Must be detail oriented and committed to delivering a high level of customer service.
