Under the supervision of the Head Clerk, the Senior Clerk should have the ability to handle a high volume of incoming mail, ability to provide customer service effectively via the telephone, working knowledge of computers, and the ability to exercise independent judgement. The ability to acquire knowledge of the University’s academic policies and procedures and to perform duties in accordance with the Family Educational Rights and Privacy Act of 1974 (FERPA) is essential.
Additionally, this position requires a person who is comfortable with working in a service oriented environment both individually and as part of a team.
General Responsibilities and Examples of Work:
-Within the established Office of the Registrar’s standard performance benchmarks, receive, authenticate, and log in all incoming transcripts and related documents into the student computer systems. -Use varying information present on the incoming documents to identify the person to whom they belong accurately. -Review incoming documents for characteristics of authenticity, such as original sending source. -Initiate contact with students and/or staff to resolve issues related to records management. -Use knowledge of academic and university policies to assist in answering questions of staff and students. -Answer and interpret student telephone calls and written correspondence relating to student academic records. -Handle all incoming mail to the Office of the Registrar and route to appropriate areas of the University, if needed. -Must perform duties in ways that maintain, protect and enforce the confidentiality of student academic records in compliance with all federal and state regulations, including those pertaining to the Family Educational Rights and Privacy Act of 1974 (FERPA). -Assist with the University’s commencement activities. -Perform other duties as assigned.
EXPERIENCE: One (1) year of experience in general clerical work.
LICENSE: Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.

Employees hired prior to September 1, 2011, who transfer from within the University/New Jersey State Library, or from another State of New Jersey appointing authority without a break in service greater than 7 days but who reside outside of the State of New Jersey, are not required to change their principal residence to New Jersey in order to comply with the Act.
