The Indiana University School of Dentistry has been advancing oral health in the state and beyond since 1879, when it was founded as the Indiana Dental College. Provide support to the Indiana University School of Dentistry Clinics and is responsible for answering phones, scheduling appointments, checking in patients, taking payments and collecting insurance information. Work closely with patients, students, faculty and staff with managing patient data and ensuring compliance with school policies.
Primary Duties and Responsibilities:
-Schedule appointments by phone or in person and confirm appointments. Answer multiple phone lines, take messages, and return calls from voice mail. Coordinate appointments to allow for effective treatment and patient care. Manage recall list and call all patients who need appointments or who have missed appointments. Communicate with outside dental offices and new patients concerning patient referrals and scheduling.
- Check patients in and out of the clinic. Assist patients with reviewing and electronically signing axium forms including proposed treatment plans, medical consults, HIPAA and consent forms, record releases, and attendance forms. Collect insurance information and payments. Provide estimated cost of procedures and the estimated number of appointments that may be required in order to complete treatment. Explain available payment options and help patients with payment plans and contracts. Schedule returning appointments.
- Make certain all patients have had appropriate follow-up with all other team members and that communications are scanned into axiUm, and payments are up to date. Monitor reports and ensure accuracy of records. Look for missing charges and bring to the attention of clinic service providers.
High school diploma or GED and one year of work experience with patient/customer service.
Knowledge of clinic operations and dental terminology. Willingness to cross-train in some dental assisting duties. Strong patient interaction skills. Strong communication and time management skills. Proficient with MS Office and dental/clinical software programs. Ability to work on multiple projects, work with constant interruptions and assess and prioritize work. Knowledge and understanding of HIPAA standards.
Experience in a healthcare enviornment.
Working Conditions / Demands
Majority of shift spent in a stationary position. Must be able to operate computer and software needed for patient appointment scheduled. Extensive phone use. Ability to communicate in written and spoken English with a variety of customers including those with English as a second language. Regular attendance. Annual TB test and up-to-date immunizations required.
