About the Job This is a 12 month, 100% time (40 hours per week) position. Course Scheduling and Curriculum Support 50% Serve as the primary School of Nursing course scheduler, responsible for coordinating course dates with faculty and ensuring that course and faculty information is available accurately and timely in Collaborative Course Scheduling (CCS) and in the School of Nursing database. Provide ongoing maintenance and troubleshooting of course scheduling issues. Assign School of Nursing rooms via Astra Academics and partner with the Rochester campus and Health Sciences Classroom Services to identify non-Nursing rooms and ITV needs. Ensure accuracy among all course-related information available to students and faculty. Monitor and analyze content. Follow up with appropriate unit/person to ensure changes are made when needed. Serve as primary user of the Electronic Course Authorization System (ECAS), managing process for course review and approval of new courses. Coordinate meeting logistics and provide meeting support for assigned program councils and committees. Maintain School of Nursing intranet pages related to assigned councils and committees.
Office of Academic Programs Admin 25% Provide general support for the OAP, including ASTRA room scheduling, meeting provisions, Zoom set up, etc. Serve as primary purchaser for the Office of Academic Programs, manage expense reporting in compliance with University and School of Nursing policies and procedures. Assist with recurring processes including, but not limited to: readying the school for accreditation reviews, establishing new affiliation agreements and renewals, and student compliance. Understand and be able to explain relevant and complex University and School of Nursing policies and procedures. Assist with events that strengthen relationships with community partners, preceptors and students. Serve on ad hoc committees for the SON to evaluate and make recommendations re: operational processes. Actively participate in OAP processes, making recommendations for process improvements. Act as liaison with other University units as needed. Serve as back-up for the Operations Manager as needed. Attend necessary training to remain current regarding in University processes and systems as they relates to the OAP.
Data Management 10% Assist with maintenance of the SON database as it relates to OAP items. Facilitate systematic strategies to collect data and develop reports including, but not limited to: student evaluation of preceptor and sites, post-graduation surveys, and annual program and specialty reports. Assist in the collection and reporting of preceptor information annually (e.g., credentialing, certification, practice, etc.); ensure preceptor information is current in the school’s database.
Associate Dean for Academic Programs (ADAP) and Program Directors Admin 10% Manage the ADAP’s calendar, scheduling recurring meetings and other meetings as requested. Ensure calendar does not have conflicts. Maintain a degree of confidentiality as appropriate, relaying professional and timely communication as it relates to the ADAP calendar. Make confirmation calls and emails for ADAP meetings as appropriate. Assist with travel arrangements for the ADAP and program directors as needed. Assist with preparation of presentation materials for ADAP and program directors as needed.
Miscellaneous Duties 5% Other duties as assigned.
Required Qualifications: High School Diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience. Demonstrated proficiency with common desktop applications, such as Google suite of apps, MS Office, or Adobe Acrobat. Demonstrated ability to write meeting minutes accurately. Experience scheduling complex meetings with multiple participants using Google Calendar or similar electronic calendar system and arranging meeting logistics. Demonstrated/documented strong organizational skills and attention to accuracy and detail. Demonstrated/documented ability to handle interruptions, organize, and prioritize workload, meet deadlines and handle multiple responsibilities. Demonstrated ability to maintain a positive and cooperative attitude, to interact professionally with a wide range of people, and provide exceptional customer service. Demonstrated/documented ability to work independently, as well as part of a team. Documented excellent work attendance history. Demonstrated ability to process and maintain confidential information.is Ability to hold a University of Minnesota procurement/purchasing card.
Preferred Qualifications: Experience with the University of Minnesota academic systems, infrastructure, policies and procedures. Experience working with course authorization systems and/or course scheduling systems such as ECAS and CCS. Experience working with Astra, Zoom, PCAS, PeopleSoft, UM Reports, ImageNow, UMarket, and survey tools, such as Qualtrics or REDCap. Experience working with databases, entering data and running reports. Experience in higher education or a business setting of similar size and scope. Experience preparing financial documents and general record keeping. Desire to participate in and promote process improvement.
