Program coordinator to further the School’s goals in the areas of faculty affairs and also administration. This position will manage confidential faculty data and workflow for renewals, appointment, annual reviews, and promotion and tenure cases. Will provide analysis of faculty data and assist with preparation of data visualization. Understands faculty affairs policies and works with the Provost’s office on searches and processing the above data. Maintains electronic records and is familiar with the NU faculty systems. Maintains faculty leave request records. Assists with Courtesy Appointments and Visiting Appointments.
Places purchase orders and works with vendors on new office purchases. Provides assistance with expense reports. Assists with management of PAC forms, Guest speaker approvals, and other regular HR forms and data. Collaborates with the rest of the finance team on regular faculty letters. Assists with NU Facilities requests and problem ticket entry. Tracks and follows up with Facilities on problem resolution.
Maintains the calendars and contact flow for two Associate Deans.
Areas of responsibility include:
Facilities & Safety
Manages design and development of program databases; compiles & analyzes data; prepares reports.
Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives.
Budgets & Financial
Troubleshoots problems; performs vendor/account research as needed; obtains additional information or provides instruction & guidance by phone, US- or e- mail from customers/vendors; corrects or escalates.
Coordinates the collection, analysis & reporting of required information for surveys, review documents, public information documents, etc.
Analyzes evaluation data from instructors, students, participants, etc. to assist in program/project development and updates.
Coordinates faculty recruitment, appointment & credentialing processes including placing ads, candidate communication & visit.
Provides support for preparation of Promotion & Tenure cases.
Coordinates all or portions of the talent management lifecycle (sourcing, selecting, developing, coaching, rewarding, recognizing, managing information & optimizing talent.)
Maintains excellent working relationship with Office of Human Resources.
Ensures compliance with all necessary organizations.
Prepares documentation as required.
Administers & maintains existing strategic plans.
Performs other duties as assigned.
Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
1 year program/project administration or other relevant experience.
