This position manages the business and administrative functions of the Office of Student Financial Aid & Scholarships and provides advanced administrative support for the director of Student Financial Aid & Scholarships. Working closely with associate/assistant directors on a limited basis, the position provides guidance and oversight of administrative functions performed office-wide. Prepares and manages budgets on behalf of the director, and oversees financial processes in accordance with policies and procedures. Coordinates hiring and human resource processes for all units within Student Financial Aid. Manages facility access, safety, and welfare matters, and supports compliance and logistics needs for Student Financial Aid. Serves as a member of the Director's leadership team, and coordinates the functions of technical and administrative support staff across office units. Serves as subject matter expert and provides excellent customer service to internal and external constituents on behalf of Student Financial Aid & Scholarships.
Supports the director in the preparation and management of the Student Financial Aid budget, including tracking and management of endowed/restricted scholarship accounts, particularly as it relates to centralized endowment awarding. Oversees financial processes in accordance with policies and procedures. Prepares and delivers regular updates regarding income and expenditures. Serves as a subject matter expert regarding practical applications of financial policies and procedures on behalf of Student Financial Aid and Scholarships. Provides budget oversight, including the regular review and reconciliation of financial reports, transactions and approvals. Provides guidance and direction to technical and administrative support staff in their daily operations and administrative transactions.
Using advanced knowledge and expertise, manages general administrative functions of the Office of Student Financial Aid & Scholarships, including finances, human resources, and facilities. Interprets policies and procedures to make decisions and perform work in accordance with professional standards. Serves as an internal subject matter expert to support unit-head assistant and associate directors and their teams in the successful and timely compliance with all administrative policies and procedures. Serves as liaison to various administrative offices on behalf of director.
Assists the director with personnel-related functions including hiring, employee and labor relations, organizational design and training, diversity, safety and welfare, performance management, and related human resources processes. Serves as an internal subject matter expert on all matters related to the hiring process, and provides guidance and direction to technical and administrative support staff in the hiring manager role. Develops and maintains the Student Financial Aid employee manual, and serves on office committees for professional development and/or employee engagement.
Serves as special assistant to the director. Provides administrative support, including but not limited to managing schedules, meeting coordination, recording minutes, preparation and editing of internal and external communications,travel and logistical arrangements, reporting and analysis, and coordination of project-based work. Anticipates needs of the Director and manages unique office situations. Reviews and interprets policies and maintains office-specific policy or practice documentation including Student Financial Aid and Scholarship Business Continuity plan. Stays abreast of policy and regulatory changes, requirements, and emerging best practices related to area, and communicates those issues to appropriate personnel. Supports ACD phone lines in addressing basic financial-aid related inquiries. Participates in external events in accordance with office-wide expectations. Performs other duties as assigned.
Bachelor’s degree required by position start date.
A minimum of three years of related work experience.
Must have advanced proficiency with spreadsheets and word processing, preferably Microsoft office products.
Successful candidates must pass routine and continual background checks and driving record audits.
Must have experience and understanding of basic human resources functions.

The hiring range for pay grade 16 is $44,558 – $71,293 and the target salary range for this position is $44,558 – $51,242. Salary is commensurate with education and experience, while also considering internal equity.
