Job Description Summary This Procurement and Campus Services Administrator has front desk responsibilities, as required, for the fast-paced Procurement and Campus Services operation to include insurance and furniture program support, coordination of general procurement, insurance and campus services related activities inclusive of, but not limited to, corporate card, insurance renewals, certificate of insurance, business travel, diversity spend tracking, office supply, records management, vending and other administrative programs. Duties are of varying complexity and the ability to multi-task is critical. This position interacts heavily with internal colleagues, vendors and service providers; providing expeditious and quality customer service. This position operates independently while establishing working relationships with internal and external constituents.
Corporate Card Program Support
Log and review incoming Corporate Card statements (daily)
Process new card applications, set up new cardholder folders and establish supplemental accounts as needed
Furniture Program Support
Maintain current inventory of any/all storage space inclusive of offsite warehouse
Produce monthly inventory report to be disseminated as appropriate to campus partners
Procurement Program Support
Run monthly Purchase Order statistics; other workday reports
Maintain Project Authorization Database, recording new PAFs and changes as received
Risk Management/Insurance Program Support
Maintain Certificate of Insurance database and binders
Review COIs to expire monthly; review with Associate Director for determination of ongoing need
Daily opening/closing procedures, including: alarm, lights, temperature; copier, printer and shredders; dishes; coffee; newspapers/magazines; water plant (weekly); daily mail distribution
Monitor recycling bin, copy paper levels, shredders, and general supplies, replenishing supplies as needed
High School Diploma or GED required, bachelor's degree preferred.
Minimum of 2 years of related experience.
Experience in handling intensive customer service needs.
Ability to work independently and problem solve.
Must be proficient with Microsoft applications, specifically Excel, Word and Power Point.
Must be extremely detail oriented and be able to shift priorities quickly.
Must possess a knowledge of basic buying principles and previous exposure to insurance and risk concepts.
Prior experience with Workday a plus.
Must hold and maintain a valid, unrestricted United States driver's license with an insurable driving history as determined by Bentley's insurance carrier.
