Under the direction of the Tarrytown Practice Administrator, the Assistant Practice Manager is primarily responsible for overseeing the daily operations for FPO practices at the Tarrytown NY location. The candidate may provide cross coverage at multiple ColumbiaDoctors sites in Westchester as needed.
Provides administrative and supervisory support for leadership, as necessary, on issues related to patient care, health care providers' concerns, and operational issues.
Troubleshoots problems, streamlines and recommends process improvements, and ensures smooth and efficient workflow including taking steps to maximize the patient experience in the practices.
Supervises and directs the activities of all administrative front end and facility staff including performance management and scheduling of staff. Includes recruitment, hiring, and training of front desk staff. Duties may also include hiring, supervising, and schedule medical assistants or other clinical staff. Partners with local HR and Service Corp HR to ensure timely submission of HR deliverables.
Overseeing scheduling as it relates to Epic and patient flow. Coordinates staff schedules with other practices ensuring coverage in all areas. Covers staff vacations/call outs for front desk and/or check out staff.
Assists with all front desk and check out functions as needed.
Provides an ongoing assessment of practice operations with suggestions for improvement as needed.
Orders supplies, manages payroll, troubleshoots IT issues, and facilities management.
May prepare reports and spreadsheets as needed.
Performs daily review of time of service payments and sign off.
Works with patient relations and physicians to resolve patient complaints.
May need to work evenings/weekends and participates in evening weekend on call.

Requires a bachelor's degree or equivalent in education and experience.
3 years of related experience required.
Epic or other EMR experience essential.
Strong management and organizational skills including a willingness to be adaptable and a team player.
Excellent communication skills, written and oral as well as the ability to motivate staff.
Must successfully complete systems training requirements.
Prior supervisory experience with multiple staff preferred.
Experience in excel, spreadsheets, and preparing reports preferred.
