Reporting directly to the Associate Vice President of Clinical Trials of Columbia University's Vagelos College of Physicians & Surgeons (P&S) at Columbia University, the Administrative Manager will manage the daily support operations of the Clinical Trials Office (CTO).
The CTO assists investigators and academic/research staff in developing clinical trials at VP&S and provides administrative resources and infrastructure to build and sustain clinical trials research at VP&S.
The primary responsibilities of the Administrative Manager include:
Providing executive-level support for the Associate Vice President including:
coordinating and assisting in gathering resource information for meetings and presentations and prepare reports and presentation materials
screening all incoming calls, mail and visitors
liaising between the CTO and other departments within the hospital/university and other institutions
organize and schedule meetings, conferences and appointments, advising attending parties of subject matter and providing required material
Collaborating with CTO administration, the Office of the EVPR, the Office of the Dean, P&S faculty, CUMC IT, CUIT, NYPH administration and government agencies.
Managing the HR process and serving as the HR representative for the CTO that includes the administrative procedures such as posting of new positions; scheduling interviews, and processing new hires through the CUMC HR system, and employees' leave and disability administrative procedures.
Responsible for developing standards and promoting activities that enhance operational procedures
Monitor inventory of office supplies and the purchasing of new material with attention to budgetary parameters.
Oversee facilities services, maintenance activities and tradespersons
Organize and supervise other office activities (recycling, renovations, event planning etc.)
Ensure operations adhere to policies and regulations
Keep abreast with all organizational changes and business developments
Bachelor's Degree or equivalent in education and experience plus 4 years of experience in administration.
Proficiency in Microsoft Office Suite
Experience with PeopleSoft applications
Excellent analytical and critical thinking abilities, organizational, time management, problem solving skills, and attention to detail
Ability to manage/handle multiple tasks, teams, and teamwork simultaneously
Strong customer service, oral and written communication skills
