Ohio Wesleyan University (www.owu.edu) is a selective, private, undergraduate liberal arts, residential institution founded in 1842. The Office of the President at Ohio Wesleyan University invites applications for the Executive Assistant to the President and Secretary to the Board of Trustees position. Reporting to the President, the Executive Assistant to the President and Secretary to the Board of Trustees provides high-level administrative support to the President and Board of Trustees and serves as Office Manager for the Office of the President.
Duties and Responsibilities:
Oversee and coordinate the day-to-day activities of the President. Support all aspects of the work of the President and coordinate interaction of the President with all constituencies. Oversee and coordinate administrative office functions, including the supervision of interns and student employees. Manage office correspondence and facilitate exchange of information to Vice Presidents, community leaders, students, alumni, faculty, trustees, and major donors. Maintain confidential and sensitive information with a professional demeanor. Provide logistical support for the work of the Senior Leadership Team and attend all meetings of the SLT. Complete projects and special assignments by establishing objectives, determining priorities, managing time, collaborating with others, monitoring progress, problem-solving, and making adjustments to plans as needed.
Act as Secretary to the Board of Trustees and keeper of the corporate records of the University.
Arrange all meetings of the Board of Trustees and its committees.
Attend all meetings of the Board of Trustees, the Executive Committee, the Organization Committee and other committees as the Chairman of the Board and the President of the University determine.
Keep or arrange to have kept the minutes of all meetings of the Board, the Executive Committee, the Organization Committee and other committees as the Chairman of the Board and the President of the University deem necessary.
Circulate all Board and committee minutes to Trustees.
Prepare and sign letters and documents relating to Board actions.
Perform other related duties as the Chairman of the Board, committees of the Board, or the President of the University may require.
Prepare and distribute comprehensive meeting materials and correspondence for the Board of Trustees.
Maintain records related to the Board of Trustees.
Work with the Assistant Secretary of the Board who will provide additional support for Board responsibilities.
Calendar Management. Coordinate the President’s schedule and manage all aspects of the President’s calendar, including in-person and virtual interactions with trustees, faculty, staff, students, parents, community leaders and other constituencies, to coordinate a variety of complex meetings on and away from campus, including at the President’s home.
Travel. Work with the Postgraduate Intern to the President to coordinate and manage all travel arrangements for the President.
Other Duties Including: Managing the office budget, overseeing the hiring of the Postgraduate Intern to the President each year, supervising interns and student assistants, managing confidential materials, planning or helping to plan events (including Commencement and Convocation) as well as events held at the President’s home, drafting and proofreading correspondence, attending and keeping minutes for senior leadership team meetings, leading biweekly meetings with the assistants to the Vice Presidents, and completing other duties as assigned.
B.A. Degree with at least three to five years’ experience in higher education, or possessing transferable skills developed in a related field. Must possess excellent organizational skills, excellent verbal and written communication skills, and maintain a high degree of professionalism at all times. The successful candidate will be proficient in standard computing software and must be able to multitask and prioritize complex assignments, including large scale project and program planning. Supervisory experience is required to lead and direct the work of others. Creativity is required, and a wide degree of latitude is necessary for decision making and strategic problem solving.
