The Program Administrator for Education and Training, works independently and in cooperation with Principal Investigator(s) and the Research Manager, Program Manager, and/or Research Operations Associate in the cancer center's research administration office to make significant and creative contributions and to provide administrative and programmatic support to the cancer center's education and training programs including federally funded T32s, initiatives, and activities. Responsible for planning, implementing and administering the day-to-day operations of education and training activities. Contributes to the strategic planning, design, development and implementation of education and training program objectives, procedures, processes and standards. May supervise staff as it relates to the overall management of education and training activities.
Proposes, develops, coordinates, and organizes resources to meet education and training objectives and maintenance. Includes regularly scheduled conferences, courses, and special programs.
Schedule conferences, special events, prepare presentations, and generate reports for education and training programs and activities.
Maintain course description forms and materials for didactic courses for training grants and other education and training programs and activities.
Develop and implement activities of T32 and related grant(s), including the recruitment, selection, hiring and appointment of trainees, and onboarding and offboarding of trainees.
Researches, gathers, and summarizes data pertaining to education and training activities, this includes maintaining information for required reporting to NIH and other funding entities, preparing tables for training grant submissions, tracking and reporting of students, trainees, mentors, and faculty throughout the education and training pipeline programs, and overseeing T32 and related grant (s) finances.
Assures all data is maintained and current in all databases.
Track and maintain data on programmatic outcomes, such as trainees during and after completion of the training and education programs.
Provide programmatic support to PIs of the T32 grant(s) and other training and education leadership, including scheduling meetings, preparing agendas, and maintaining meeting minutes.
Identifies growth opportunities and further efficiencies that impact the success of education and training programs as well as establish strategic plans to achieve objectives.
Develops and implements procedures for data acquisition, management and quality control by analyzing data from multiple sources to evaluate trends and formulates recommendations.
Establish and follow procedures and guidelines within the T32 education and training programs and activities in accordance with NCI and/or NIH guidelines.
Assist training and education program(s) leadership in the cancer center with reports needed for grant submission and renewal and other activities, as needed.
Assist in the preparation of training grant applications, annual NIH progress reports, and overseeing the finances of the T32 grant(s) and any other training grants in the cancer center.
Provide oversight of budgets and procurement and maintenance of financial data for T32 grant(s) and other training and education programs and activities and process financial transactions related to daily activities including check requests, expense reimbursements, and travel requisitions.
Identifies program participants and stakeholders and leads cross-functional teams in the administration, maintenance or expansion of the program.
Interfaces with internal/external stakeholders to maintain and further develop program growth and community outreach activities.
Establish relationships with key individuals to facilitate conferences, events, and meeting planning and execution, including tasks such as room rescheduling, catering and facility set up; assist with conference and large event planning including communications, facilities arrangements, catering, materials, travel, registration, coordination on day(s) of event, evaluations and any follow-up necessary.
Coordinate education and training program activities and independently provide complete administrative support including, but not limited to, curriculum, rotation schedule, evaluation process, conferences, call schedules, and maintains personnel and evaluation records.
