Harvard University's Campus Services (CS) Unit (annual operating budget of $450M; real estate portfolio valued at over $3.1B; 1,600+ employees) reports to the Vice President for Campus Services and provides outstanding delivery of a wide variety of services to the Harvard Community. Campus Services is comprised of numerous departments serving a broad constituency of internal and external customers with diverse lines of business and size (measured in annual budget $).
Payroll Coordinator/Analyst for Campus Services (CS) reports to the Manager for Financial Operations and reviews and processes payroll and accounts payable transactions as well as performs financial analysis. He or she will:
Adhere to a calendar of payroll activities to ensure that all transactions are processed, approved, and posted by appropriate deadlines.
Take the lead in analyzing and auditing weekly and monthly payroll processed through Harvard's and CS's core systems by gaining knowledge of core systems including but not limited to: Maximo, Kronos, PeopleSoft, and Oracle; as well as payroll regulations, University policies, and union rules to help to ensure that employees are accurately paid.
Collaborate closely with CS Business Units and employees to investigate and resolve payroll related matters in a timely manner, including formally tracking issues and their status until close out, as well as identifying the nature of issues and training opportunities to prevent future issues.
Review time card corrections for accuracy.
Process and file time card correction forms.
Provide administrative support for the bi-weekly, weekly, and temporary payroll, including processing transactions in PeopleSoft, approvals, monitoring registers, off-cycle checks, additional pays, and troubleshooting as well as serving as back up for processing Maximo and Kronos weekly payroll feeds.
Collate backup data for the payroll quarterly CS internal audits, performing audit steps as required.
Responsible for the sorting and distribution of pay checks as well as the printing, distribution, collecting and filing of time sheets.
Processes and approves accounts payable invoices through University systems including, but not limited to Maximo, HCOM and FoodPro and ensuring agreement with purchase orders
.Key member in User Acceptance Testing and system implementation for the systems used to support CS core payroll operations, often times identifying critical payroll tests, working with team to develop and implement test plan, identify and resolve issues, and collaborating closely with CS HUIT and external consultants.
Uses Excel and source systems to perform financial payroll analysis for CS and Business Unit management including, but not limited to weekly and quarterly overtime analyses, time card correction metrics, as well as other ad hoc requests.
Provides customer service by answering employee payroll inquires.
Develop knowledge of Microsoft Office Suite including, but not limited to Microsoft Excel and Microsoft Word, to support CS payroll operations.
Document procedures related to job duties and suggest improvements to existing processes.
Serve as back up for critical activities of other CS Accounting/Payroll Assistants.
Participates on special projects.
Related duties as assigned.

Bachelor's degree required.
Minimum of three years' experience in processing payroll.
Bachelor's degree in Accounting or Finance preferred.
Must have the ability to handle complex and confidential information with discretion.
Must have the ability to work independently with minimum supervision and also in a team environment.
Must have an attention to detail with strong analytical and problem solving skills.
Must have the ability to prioritize workload.
Must have the ability to analyze and resolve issues in a timely manner.
Must exhibit excellent verbal and written communication skills.
Must demonstrate proficiency with MS Office, including Excel, and the ability to learn and utilize numerous financial systems including, but not limited to: Oracle, PeopleSoft, Maximo, and Kronos.
