Position Summary: Reporting to the Deputy to the Dean, the Academic Administrator will be responsible for supporting all administrative services including but not limited to human resources, business services, records management, meeting scheduling, and events management for the Dean's Office at the Katz School.
Position Responsibilities: Human Resources:
Assist with hiring process including posting job descriptions and reviewing resumes
Compose Hiring Letters (student and adjunct faculty)
Assist with the onboarding of student workers, casual employees and adjunct faculty
Maintain faculty appointment data each semester by collecting and entering correct information into the HR system
Update payroll records and ensure accuracy
Process payroll forms
Oversee time and attendance records
Processing requisitions, invoices, reimbursements and other procurement related requests
Reconciliation of accounts
Act as a liaison with facilities, IT, HR, Procurement, Legal and other central offices
Distribute appropriate announcements, policy updates, etc.
Other duties or projects as assigned
Deans Office Support:
Maintain calendars for the Deans Office
Organize events for the Deans Office, including room reservations, catering and AV requests
Create and maintain a variety of confidential and sensitive data such as student records, faculty files, personnel records and teaching evaluations
Experience & Educational Background:
Bachelors degree required
2+ years relevant administrative experience supporting departmental operations
Experience in higher education or non-profit environment preferred
Skills & Competencies:
Ability to provide advice, problem solve and interact with individuals at all levels
Excellent interpersonal and writing skills
Strong word processing skills, experience with Excel spreadsheets, data entry, email, and other web-based computer application programs
