Coordinates administrative activities such as purchasing, and other administrative activities for the Taussig Heart Center, interprets operating policies; exercises independent judgment in the resolution of administrative problems.
Will fill in as necessary to assist the Administrative Staff, and other areas as needed and provide telephone/email coverage for the Taussig Heart Center Administrative Staff.
Specific Duties & Responsibilities
Coordinates and implements office services such as purchasing, assigned projects and other administrative activities.
Participates in budget development by assisting office manager when assigned budget related projects.
Provides administrative support to five or more faculty members for correspondence, meeting scheduling, travel arrangements and reimbursements.
Provides administrative support for document typing and proof reading.
Is responsible for preparation of selected personnel and other administrative documents. Responsibilities include JHU maintaining current JHED information, and maintaining employee history data base.
Is responsible for typing, editing and distribution of minutes for various divisional meetings.
Locates and compiles information and data to format reports, graphs, tables, etc., for presentation, publications, reports and manuscripts.
Communicates policies and major announcements, including lectures, meetings, seminars, grant opportunities and deadlines. Schedules various standing meetings and monthly JHM Ambulatory QI meetings.
Coordinates Faculty recruitment schedules.
Interprets and communicates operating policies.
Conducts orientation of new employees as needed.
Is a departmental resource for non-routine information for individuals external to the department; answers questions and provides guidance.
Operates personal computer to access email, electronic calendars and other office support software.
Uses various software applications, such as word processing, spreadsheets, relational databases, SAP, and graphic packages to assemble, manipulate and/ or format data and reports.
Scope of Responsibility:
Knows the formal and informal departmental goals, standards, policies and procedures which may include some familiarity of other departments within JHU/JHH. Is sensitive to the interrelationship of both people and functions within the department.
On a regular and continuous basis, exercises administrative judgment and assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area. Ability to make independent decisions within the department's scope of interest.
Will not oversee or direct the activities of staff or a function.
Exchanges non-routine information using tact and persuasion as appropriate, requiring excellent oral and written communication skills.
Minimum Qualifications (Required)
High School Diploma or GED required.
Three (3)years related experience required.
Additional education may substitute for required experience, to the extent permitted by the * JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *
Preferred Qualifications Experience with SAP is preferred, but not required.
Experience in a research or University setting preferred.
Special Knowledge, Skills, and Abilities
Excellent interpersonal and organizational skills required. Experience in the use of software applications, databases, spreadsheets, and/or word processing required. Operate personal computer to access e-mail, electronic calendars, and other basic office support software such as PowerPoint, Excel and Microsoft Word. Ability to answer a multi-line telephone system and field calls as appropriate.
