The Department of Mathematics in the College of Liberal Arts and Sciences at Iowa State University is seeking a Secretary II to provide undergraduate academic support to students, faculty, and staff in the department.
Primary responsibilities of the Secretary II include coordinating undergraduate course offerings, student evaluations, website and list serve management, textbook orders, generating reports, room scheduling, management of records and archives, and oversight of undergraduate student employment in the department.Â Other duties may include office management of phone, key, and access cards, ordering and maintaining office supplies, and equipment and space inventory as well as assisting with the planning of department undergraduate events.
The successful candidate must demonstrate the ability to work independently with minimal supervision, be self-motivated, and able to work successfully in a team environment. The position requires extensive interaction with undergraduate college students and university personnel. Candidate should be able to communicate clearly and effectively with others utilizing excellent written, oral and interpersonal communication skills.
Characteristic Duties and Responsibilities
â¢ Reviews inquiries, provides information, and otherwise represents assigned and related work areas referring inquiries to appropriate persons as required.
â¢ Initiates and processes standard forms and documents such as personnel action forms, purchase orders, vouchers, and invoices.
â¢ Maintains and updates records on personnel, budgetary and purchasing transactions, and verifies and reconciles departmental statements.
â¢ Tracks and monitors expenditures, notifying management of status and/or concerns.
â¢ Composes correspondence in response to routine inquiries within established guidelines.
â¢ Assigns, coordinates, and reviews the work of other secretarial/clerical personnel for conformance to established guidelines.
â¢ Integrates information and may run routine queries to generate or produce reports.
â¢ Organizes activities and/or events for department such as scheduling room, ordering food, sending invitations, preparing agenda, etc. according to predetermined guidelines or standards.
Knowledge, Skills, and Abilities
â¢ Knowledge of office routines and functions sufficient to refer visitors and telephone calls and to route correspondence by name and functional area.
â¢ Knowledge of institutional and unit policies, processes and forms.
â¢ Knowledge of proper format, grammar, spelling, punctuation, and capitalization.
â¢ Skill in utilizing computer software and online systems.
â¢ Skill in operating office equipment.
â¢ Ability to communicate effectively with staff, students, and the public.
â¢ Ability to follow oral and written instructions and apply institutional and policies accurately.
â¢ Ability to collect data, keep records, and prepare reports.
â¢ Ability to exercise functional supervision over employees.
