The Harborview Abuse and Trauma Center is a program of Harborview Medical Center. We are looking to hire a part-time (80% FTE, 32 hours per week), day shift, CONFERENCE COORDINATOR 2. for our Statewide SANE training program. This is a unique opportunity to work with a successful SANE training team dedicated to providing quality SANE training to providers across the stat. We are looking for qualified professionals who have experience and a commitment to working in the sexual assault.
Plan and implement educational conferences, webinars and trainings to include: Sending speaker invitation letters and making arrangements for speakers/presenters, sending confirmation letters, creating on-line registration and tracking potential participants, adding participants to the sane list serve/master list and ensuring all conference related materials are accurate and provided to participants (Core SANE, Pediatric SANE, Advanced SANE, SANE Refresher Trainings, NW Peer Review).
Assist with setting up on-line training registrations and all related information. Send out “Save the Date” announcements, conference announcements and confirmations to participants.
Create zoom links for online trainings.
Develop training evaluations and compile results in standardized format.
Arrange and reserve conference facilities, any meals, lodging information for participants and recording and reproduction needs. Ensure HATC audio-visual equipment is complete and in working order. Responsible for set up and break down each day of local in person trainings and remain on site as needed to assist with any issues that may arise.
Assist with all zoom trainings, monitoring for presenter or participant technical issues, double checking attendance, monitoring the chat box and being present for duration of the training to assist with any issues that may arise.
In conjunction with the program manager, determine and arrange for the purchasing of conference supplies.
Arranges for disseminating conference materials to participants including Power Points, handouts articles, evaluations and Continuing Nursing Education (CNE) certificates and Certificates of Attendance. Ensures timely distribution via email, training folders or website posting.
Drafts thank you letters for conference presenters, including scores and comments from evaluations and routes to appropriate training coordinator.
Develops and maintains organized folders of resource information on presenters, announcements, handouts, correspondence related to conferences, bios and resumes and site and catering information.
Manage and update SANE NW list serve.
Maintain and update www.wasafe.org website with updated training information, annual update to state hospital information and resources.
Manage and update www.uwhatc.org website with updated materials and information.
Collaborate with SANE training manager to create quarterly newsletter.
Assist with the HMC Education Forum to include setting up Zoom meetings, sending notices and other Ed Forum related tasks.
Provide back up to other trainings as needed.
Assist with compilation of annual SANE program data.
Assist SANE program manager with administrative support including data entry, entry of online schedules, updating of program manuals, data compilation and other administrative tasks as needed.
REQUIREMENTS: High School graduation and four years' of progressively responsible work experience involving public contact such as sales promotion, public information, or in the hospitality industry OR equivalent education/experience.
