Dept Marketing Statement The Academic Personnel Office (APO) is a central campus unit within Academic Affairs. The mission of the Academic Personnel Office is to facilitate the recruitment, appointment, advancement, and retention of the most qualified and diverse faculty and academic appointees possible. The Academic Personnel Office provides leadership and oversight of academic policy, procedures and supporting systems in a manner that supports the overall academic goals and objectives of the Administration and the Academic Senate consistent with the campus Principles of Community.
Applies professional UC Academic HR concepts, organization and / or system wide policies, and procedures to provide guidance to supervisors and managers to resolve a variety of academic human resources issues of moderate scope and complexity.
Under the direction of the UCPath Manager, the UCPath Academic Personnel Analyst serves as a campus expert and resource for matters related to academic employment in UCPath. Using independent judgment, provide guidance and training to the campus' academic divisional staff to accurately and appropriately process workforce administration, position, and extended absence actions and to resolve complex issues. The duties described and the percent effort assigned require reasonable flexibility, balancing heavier commitments and responsibilities in one area against lighter commitments and responsibilities in another, consistent with deadlines and the objectives of the Academic Personnel Office.

Pay, Benefits, & Work Schedule Salary Information: $26.00 - 30.00/hourly. Salary commensurate with skills, qualifications and experience.
Maintain an extensive and thorough understanding of academic personnel policies and procedures in order to advise and collaborate with academic divisional staff regarding the appropriate transactional activity to assure consistency and compliance. Serve as a campus expert regarding UCPath transactions as they apply to academic employees and contingent workers. Maintain a high level of sensitivity and confidentiality regarding employee pay, leaves of absences, and personal matters.
Process compensation transactions in UCPath (e.g., additional compensation, mass pay changes).
30% - Compliance and Reporting
Under the direction of the unit manager, handle escalated issues from both campus constituencies and the UCPath Center, by investigating issues and recommending steps for resolution. Coordinate with academic divisions and other campus entities to correct errors, resolve issues, redirect stalled transactions and update UCPath as necessary. Assure that actions taken are within policy and conform to UCPath workflow and business processes.
Assure compliance with systemwide and campus policy and procedure for creation of new positions, updates to existing filled and vacant positions, and inactivation of positions.
In collaboration with the Compensation and Systems Analyst, write and produce campus reports related to UCPath transactions.
Responsible for monitoring UCPath scheduled reports including but not limited to: extended leaves and transactional data reports.
Under the direction of the unit manager, collect, prepare, and analyze data in response to information requests from the UCPath Center, Office of the President and other entities.
10% - Training
UCPath Serve as part of the Academic Personnel training team. Under the direction of the unit manager, and in collaboration with other campus offices, provide campus training both formally and informally regarding the use of UCPath to support academic employment. Coordinate and staff open labs where users can drop in with questions regarding use of the system.
Maintain a full understanding of Peoplesoft and UCPath specific functionality in support of training efforts. Track issues and make recommendations regarding campus training needs.
Provide training and serve as a resource for academic divisional staff during implementation of newly developed or revised programs, policies, and procedures.
CruzPay Maintain thorough understanding of academic time and attendance policies. Serve as a campus expert regarding CruzPay transactions as they apply to academic employees. Advise and collaborate with academic divisional staff to resolve time and attendance issues.
10% - On-Boarding
Participate in on-boarding new academic employees on behalf of divisions.
10% - Unit Support
the development and maintenance of internal training, reference materials and manuals
producing summaries of policy/procedural decisions or clarifications
ensuring that new systems features are appropriately tested, documented, and communicated before they are implemented in production
various campus, divisional, unit meetings, trainings and cross-functional teams to address business process or systems issues

Bachelor's degree in related area and / or equivalent experience / training
Strong analytical, critical thinking, and problem-solving skills to comprehensively analyze and interpret policies, procedures, and situations in a multi-faceted way and develop and implement creative recommendations and solutions within established guidelines
Ability to recall, retrieve, and communicate detailed information quickly, clearly, accurately and consistently

Experience with databases; desktop computer proficiency, including word processing, email, calendaring software, internet research, and spreadsheets, and the ability to learn complex systems

Ability to exercise flexibility and cope with ambiguity, frequent interruptions, changing priorities and competing deadlines
Math skills sufficient to calculate payments accurately
