The Executive Assistant to the Associate Dean for Development and Alumni Relations supports the administrative needs of the Associate Dean as well as the Director of Development.
Serves as the main point of contact with the Dean's office to strategically schedule prospect visits for the Dean and development office to support the school's fundraising goals. This includes managing logistics for extended domestic and international travel as well as logistics for on-site meetings.
Coordinates all aspects of the Associate Dean and Director of Development's prospect meetings, including requesting updated prospect outreach, scheduling meetings, logistics, travel arrangements and itineraries, briefing management, record-keeping in donor database, follow-up correspondence, and next steps.
Serve as departmental liaison with AA&D regarding President and Dean's travel as it relates to GSD fundraising.
Manage the Associate Dean and Director of Development's calendar, schedule, and respond to departmental, GSD, Harvard-wide, and external constituent meeting requests.
Manage the daily coordination of meeting schedules and ensure that all backup materials are prepared in advance.
Create robust agendas with appropriate backup materials to be shared internally and with the dean's office.
Serve as liaison between staff and management to move project-related tasks along within an appropriate timeline.
Reliably and consistently gather, organize, and disseminate departmental activity for collaboration, scheduling, and historical reference.
Creates, formats, and edits briefings, proposals, spreadsheets, and miscellaneous correspondence on behalf of the Associate Dean and Director of Development
This position's responsibilities also consist of varied projects and tasks that arise out of ongoing shifting demands that cannot always be foreseen. Flexibility, priority-setting and re-prioritizing, and initiative are essential.

Bachelor's degree or equivalent experience required.
5+ years of related administrative support experience, preferably in an academic environment or development office.
Excellent editing and proofreading skills.
Strong skills with Microsoft Office Suite, including Excel, PowerPoint, and Microsoft Word.
Confidentiality, judgment, tact, and poise are required.
Ability to take the initiative, handle multiple projects, set priorities, and complete tasks on time in a fast-paced environment.
Strong attention to detail.
Experience with BSR Advance or other relational databases preferred.
Ability to handle confidential information with discretion.
Strong communication skills in person, in writing, and on the telephone. Excellent customer service and organizational skills.
