The Department of Mechanical Engineering has an outstanding opportunity for a full-time Academic Counselor.
The Academic Counselor position provides academic support to prospective and current students in the Department of Mechanical Engineering. This position is responsible for assisting students in making informed decisions concerning personal, educational, and professional goals leading to graduation from the University of Washington. In this role, you will be part of the academic services team, working with prospective and current students in the Department of Mechanical Engineering.
ACADEMIC ADVISING: •Maintain a welcoming and supportive climate for current and prospective students. •Provide academic advising support and success coaching as you develop educational plans with students to meet their goals – personal, educational and professional. Inform students of university, college and department policy, and share community resources to ensure student success. •Review, interpret and explain student education records including evaluation of AP/IB credits, running start and transfer credits; assist students in making informed educational choices with use of their Degree Audit Report and other planning tools such as MyPlan. Recommend appropriate course loads and help in resolving registration issues that arise including the distribution of add codes, managing course waitlists, non-major enrollment, or resolving registration holds. •Identify, monitor and support students with academic difficulties. Make referrals to other campus resources when needed and coordinate with the College of Engineering Academic Affairs Office and the Office of Community Stands & Student Conduct in the case of academic misconduct. •Counsel and coach students on complying with departmental continuation policies and monitor student degree progress. Review and consult with students on Advisor-Assisted Drop Requests, offering holistic advising practices to support students as they exercise their decision making. •Create content for the Canvas Advising Resource, manage and monitor student experience, and continually update to better serve our students. Assist department web and communication team in creating public facing material for website, brochures, and other material to a broad audience.
ACADEMIC SERVICES SUPPORT: •Serve on departmental admissions committee; verify and organize application data including interpreting educational records and transfer credits. Assist committee on building and assessing admission policies to ensure department and college admission goals are aligned. Consult on enrollment trends, retention, admission offer and acceptance rates to align with departmental graduation targets. •Represent the undergraduate program as a member of the Mechanical Engineering Diversity and Outreach Committee. Collaborate with students, faculty, and staff across the department and UW in support of ongoing diversity, equity, and inclusion efforts. Serve as a creative force for thoughtful and intentional efforts that support the departments equity and inclusion goals. •Assist in the preparation and submission of course change and new course application materials. Consult with faculty on assessing impacts of curriculum changes on the program and course enrollments. Familiarity with ABET (engineering’s accreditation board) is desired but not required. •Coordinate the departmental scholarship application and awards. Manage process from beginning to end keeping detailed record in coordination with faculty and other advising staff to award some 60-70 student awards. •Assist faculty and instructors in the ordering textbook and other course materials. •Assist faculty and instructors in setting up course evaluations. Share resources with faculty on best practices, including College of Engineering resources relating to mid-quarter evaluations and faculty consulting services to improve teaching and learning across the department.
PROGRAM PLANNING AND OUTREACH: •Support incoming student orientation and new student activities. This includes forming close relationships with departmental Registered Student Organization (RSO) leaders to coordinate recruitment and exploration activities that support hand-on engineering learning. •Support student services team with the coordination of the annual department graduation ceremony. Assist in all levels of event planning from catering and coordination of space rentals, to selecting speakers, proofreading programs, and handling other logistics required in event support for approximately 1200 guests. •Represent the department during informational fairs, classroom or program support visits such as STARS or EPEs, and other STEM community events schedule on-campus and off-campus. Be able to deliver effective presentations on the interdisciplinary nature of engineering and how Mechanical Engineering students play a role in solving today’s most pressing challenges. •Represent the department at local and nationwide conferences, serve as a recruiter for prospective undergraduate and on occasion for the graduate program.
REQUIREMENTS: •Bachelor’s Degree in Engineering, Education, Counseling, Higher Education Administration, Physical Sciences, or a related field. •Minimum of 2 years’ experience in student services with roles including academic advising, counseling, career counseling, student affairs, or similar roles at a college or university level. •Exceptional interpersonal skills including the use of active listening, engaging in empathetic response, utilizing reflection and reflective feedback, and effective communication when addressing emotional or high stress topics. •Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment. •Excellent written communication skills including attention to detail. •Proven to be a self-starter and works well independently but enjoys contributing to a dynamic team that focuses on providing excellent customer service to internal and external constituents. •Proficiency in data collection, analysis and interpretation. Comfortable using reporting tools such as BI Portal or admissions tools to form reports using Microsoft Office Access and/or Excel. •Ability to work comfortably with technology including Google Drive, Canvas, Zoom and Microsoft Office suite.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED EXPERIENCE •Master’s degree in Education, Higher Education Administration, Counseling or other related field. •Knowledge of UW administration systems such as SDB, EARS, DARS, WAG and BI Portal.
Work Conditions: Ability to routinely work during student services open office hours from 8:00am to 5:00pm. May include additional hours when needed, with occasional early mornings, evening, and weekend events or activities.
