Rutgers, the State University of New Jersey is seeking an Administrative Assistant for the Plastic and Reconstructive Surgery department at the Robert Wood Johnson Medical School.
The primary purpose of the Administrative Assistant is to provide clerical and administrative support for the Division of Plastic and Reconstructive Surgery. This encompasses answering a high volume of phone calls, scheduling appointments, composing documents/correspondence, coordinating meetings, and other related duties, as assigned. The Administrative Assistant assists in the planning and support of program activities and coordinates office operations. Confidentiality, organization, and the ability to work independently, is necessary.
Among the key duties of this position are the following:
Demonstrates strong customer service and multitasking abilities. Ability to answer a high volume of phone calls promptly and in a courteous manner. Screens calls and provides information in accordance with the organizational policy.
Schedules patient appointments; obtaining records as necessary, and preparing paperwork for appointments.
Submits documents for scanning and maintains documents in EMR. Proficient use of EMR to navigate and communicate patient and staff requests.
Receives and appropriately handles incoming correspondence and responds to inquiries.
Undertakes routine writing and editing assignments; generates correspondence for signature.
Updates and maintains clinic schedules, office spreadsheets, and the division calendar.
Assists with purchasing, check requests, and reimbursements.
Minimum Education and Experience:
Associate's Degree plus two (2) years of administrative/secretarial experience.
Equivalent experience, education, and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities:
Proficiency of Microsoft Office, specifically Word, Excel, and Outlook.
Demonstrates excellent organizational, interpersonal, communication, and multi-tasking skills.
Demonstrates knowledge and understanding of office administration, work organization, and coordination.
Confidentiality and the ability to work independently.
