Position Summary: The Administrative & Recruiting Coordinator will maintain a well-organized and efficient office/reception area, while handling all calls to the Career Development Center (CDC). Greet and assist students and employer guests in obtaining services offered by CDC, as well as assisting staff members with all administrative duties. Oversee all details associated with on-campus recruiting program from scheduling to interview date logistics. Supervise student workers, assign duties and ensure completion of assignments in a professional and timely manner. Oversee administration of all non-salary budget lines and office supply ordering and procedures. Oversee daily Handshake functions including: employer & job approvals, student & alumni account requests, kiosks, and appointment management. Provide Career Fair and Employer event support.
Duties and Responsibilities (Essential Duties): -Organize office/reception area, greeting student and employer guests. -Respond to and direct daily careerhelp emails, answer phones, and assign daily resumes to CDC staff and Peer-to-Peer Reviewers. -Maintain non-salary departmental budget, all phases (incoming revenue, accts. payable, petty cash, and transfers). -Order all office supplies. -Hire, train and supervise work-study students. -Assist with on-campus recruiting, including: fielding questions, monitoring applications, enforcing on campus recruiting policies, adjusting schedules in a timely manner as needed, sending weekly activity updates to staff and campus partners. -Manage interview day logistics including: printing schedules, greeting employers, getting business cards, arranging lunch, and other duties as needed. -Provide Career Fair and Employer event support including oversight of table tents, name tags, handout copies, employer registration packets, and assembly of supplies. -Review and approve employer accounts, as well as job and internship postings in Handshake on a daily basis; respond to daily, routine inquiries from employers via recruit alias and phone. -Monitor Kiosk creation in Handshake for all campus events, including classroom presentations. -Coordinate appointment creation process in Handshake and communication regarding Zoom appointments to students and alumni. Secondary Responsibilities: -Participation in campus-wide committee work in order to contribute to the overall mission of Saint Joseph’s University. -Oversee communication for Jesuit Career Consortium requests for service -Other duties as assigned by the Associate Director for Employee Engagement.
Bachelor’s degree - 0-2 years of experience in related field -Strong attention to detail and ability to successfully prioritize and meet deadlines. -Experience with Microsoft Office and Google Workspace. -Advanced communication, customer service and organizational skills. -Ability to train students in office procedures and delegate tasks as needed. -Excellent telephone manner and skills in order to respond to inquiries from students, employers, faculty and administrators. Preferred Qualifications: -Experience with Handshake or similar relationship management tool. -Experience with office management and budget entries.
