Reporting to the Director of Academic Experience, the Associate Director of Registration and Student Records is responsible for maintaining the integrity of permanent records, managing the day-to-day operations and all aspects of the bidding and registration systems and processes for Full-Time, Evening & Weekend and Executive MBA programs. This position provides direction for daily operations, and works to continuously improve processes and student experience. Leads and develops a team responsible for data entry, course bidding and registration, maintenance of student records and systems, degree auditing, grading, and preparation for graduation. Manages functional systems administration and ensures accuracy of student data. Establishes standards of performance for registration materials, customer service, degree auditing and student records management.

Under the general direction of supervisor, and in coordination with Kellogg Information Systems (KIS), the University Registrar’s Office (RO), Student Enterprise Systems (SES), and Northwestern Information Technology (NUIT), manages the planning, enhancement, and execution of course bidding and registration for all Full-Time, Evening & Weekend, and Executive MBA students.
Provides support overseeing Kellogg’s configuration and use of bidding/registration/student information systems for all MBA programs, including configuration, testing, troubleshooting, ad hoc data requests.
Manages team responsible for course bidding and registration, degree audit and conferral, communication of academic policies and procedures, and record management for Kellogg’s Full-Time, Part-Time, and Executive MBA programs.
Works with Director of Academic Experience to develop, implement, and enforce policies and procedures associated with course bidding.
Manages customer support and service to faculty, staff, and students regarding enrollment issues and course bidding questions, and provides guidance and supervision to the office staff with regard to their customer support. Creates associated practices and procedures and metrics to measure success.
Conducts quarterly audits of student enrollments to ensure compliance with school and university policies and deadlines.
Cross-trained in all department responsibilities and be quick to take initiatives, suggest improvements, solve complex issues independently and jump-into actions when needed.
Manages the day-to-day operations, develops and maintains the quarterly/yearly production schedule. Prioritizes daily responsibilities among complicated processes, projects and requests.
Accountable for providing the optimal student experience for course selection and registration.
Responsible for leading a team of up to 4 staff members, including recruiting and selecting, developing and coaching, rewarding and retaining, and optimizing talent.
Develops a high-performance team with clear roles and responsibilities.
Manages staff workload and promotes cross-training to create knowledgeable, flexible, effective workforce.
Allocates tasks, and ensures that scheduled processes are documented and performed properly.
Works with University Registrar’s Office to analyze, develop, and improve existing business processes as needed.
Responsible for embedding Kellogg School of Management’s (and MBA Operations’) mission, and performance driven culture (intellectual curiosity and continuous improvement) into the Registration and Records team.
Provides guidance and direction to direct reports with emphasis on maintaining a high performance work environment, especially with regard to providing the optimal student experience for course selection and registration.
Fosters effective methods of communication amongst team members and builds employee ownership of the organization.
Collaborates with Dean’s Office, Student Life, EMBA team, KIS, University Registrar’s Office, Student Enterprise Systems (SES), Northwestern Information Technology (NUIT), Degree Operations, Academic Advising Team, and faculty to strategize, design and coordinate course registration processes and technology solutions enhancing the student experience.
Collaborates with the course scheduling team to ensure an accurate course configuration for student course bidding/registration in the Kellogg course bidding system.
Oversees the development and implementation of processes and procedures that ensure compliance with all applicable federal, state, local and NU laws, regulations, policies and procedures, and safeguards security and confidentiality of private university and student data.
Oversees the creation and implementation of associated training.
Oversees submission of applicable documents.
Performs other duties as assigned.
Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
4 years of progressive higher education experience either in Student Information Systems or Registrar’s Office.
Experience must include at least 3 years in a supervisory role.
Experience in process analysis and improvement.
Experience in customer service delivery.
Experience with enterprise-scale student registration systems in a higher education setting.

5 years progressive experience in a registrar’s office or related university area working with enrollment and operations.
Strong supervisory experience, preferably in a university setting.
Excellent customer service delivery in a highly professional environment.
Superior problem-solving and multitasking skills
