Rutgers, the State University of New Jersey is seeking a motivated Administrative Analyst V (Financial Assistant) for the Clinical Trials Office (CTO) within the Rutgers Institute of Translational Medicine and Science (RITMS).
The Administrative Analyst V (Financial Assistant) will assists in all aspects of the financial management for both the NJACTSCTSA award and the CTSA RADx supplemental grant award, this will include forecasting/modeling, accounting, reporting, and financial analysis. This position will be responsible for the post award administration tracking for these projects and it will include preparing monthly analysis reports, actual versus budget variance tracking, processing of budget adjustments and transfers, invoicing and billing, preparation of purchase orders and requisitions, and supply expenditure control.
Among the key duties of this position are the following:
Assist with the coordination and administration of Institute programs, and/or projects, such as tracking clinical trial amendments, pilot grants, or protocols associated with special projects.
Assist in all aspects of the budgeting process for the departments, including forecasting/modeling, accounting, reporting and financial analysis.
Maintain records of expenditures, invoices, and payments, track actual vs budget variance, and assist in generating monthly financial reports.
Assist in the preparation of budgets for both academic and industry projects.
Coordinate the processing of budget adjustments and transfers, changes of source of funds, salary transfers, purchase requisitions and purchase orders.
Maintain confidential correspondence and financial records.
Minimum Education and Experience:
Bachelor's Degree in Business Administration/Accounting, Finance or a related field.
Equivalent experience, education and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities:
Proficient with computer-based spreadsheets (i.e. Microsoft Excel).
Proficiency in working with Microsoft applications, such as Outlook, Word, PowerPoint, and Excel.
Ability to work independently and meet required deadlines.
Flexibility with work schedule. Able to work non-traditional hours or additional hours as needed.
Excellent communication, interpersonal skills.
Applicants must be detailed oriented and have prior experience in organizing projects and other administrative activities.
Demonstrated experience with independent thinking, follow through and the ability to work in a deadline-driven environment are necessary.
Training to gain access to Marketplace and the Expense Management System, must be completed within the first three months of being hired.
One (1) year of experience in the maintenance of budgeting and fiscal records.
