The primary purpose of the Operations and Records Assistant II is to assist the Sr. Associate Director with the management of the PowerFAIDS financial aid system. The Office of Financial Assistance (OFA) has many ongoing needs that require varied systems support and assistance throughout the financial aid cycle. The O&R Assistant II manages the flow of student documents received by the OFA, which includes creating and maintaining student financial aid files, tracking incoming student application documents, and coordinating mass mailings to students and families. The position also serves as back up to the front desk Administrative Assistant in assisting with phone and email contact during high volume times within the cycle. The O&R Assistant II provides general office support with the variety of clerical activities and related tasks and is responsible for hiring, training, and supervising a staff of 5-10 student employees. Because sensitive documentation and/or information is received on daily basis, it is imperative to adhere to privacy and confidentiality related procedures in place. All documentation dropped off must be handled appropriately and kept securely. In addition, all publications, forms and correspondence should be proofread before the information is released to the general public.
Supervise daily workflow of operations area and oversee the correct tracking of student documents and the filing of these records.
Maintains order in the records area and other student file storage areas.
Uses population selections for various needs in the Office of Financial Assistance (i.e. to determine what files need to be pulled for review).
Creates new correspondence in letter generation using mergefields and anticipates resources necessary to coordinate and execute mass letter mailing projects.
Manage weekly letter generation for tracking letters, large volume mailings, and special projects.
Assist Financial Aid staff in troubleshooting and resolving system problems.
Responsible for installing Department of Education software. Download College Scholarship Service Profile data, resolve suspended records, load data into PowerFAIDS.
Manage student Profile and FAFSA data, including group assignment, resolving discrepancies, quality control, and initiating the review process.
Submit nightly financial aid systems jobs to batch queue.
Coordinate and resolve financial aid duplicate records with other offices.
Oversees opening and distributing incoming mail.
Other duties may include customer service assistance as needed, such as answering questions by phone or email from students and parents on general financial aid required documents and deadlines.
High School diploma and 2+ years of related experience.
Proficiency with Microsoft Office suite.
Exceptional customer service skills.
Strong oral and written communication skills.
Proficiency and accuracy in data entry.
Good organizational skills.
Ability to work independently in a fast-paced environment.
Must maintain confidentiality of sensitive data.
The Operations and Records Assistant II and students' workstations are located in a busy area of the office that is typically subject to constant foot traffic.
Staff must be able to focus on tasks in an interruption-prone environment.
Typical office setting with extensive sitting and computer work.
Speed and accuracy in typing skills is imperative.
There is an occasional necessity for lifting of boxed supplies and reaching to high shelves for supplies.
