Nature & Purpose of Position/Usual Duties:
Assist the Project Director and Manager in the development, planning, coordinating and management of the grant project for the Impaired Driving Initiatives office. Assist in the investigations, analysis, and interpretation of the project's objectives, mission and other related work.
Primary Responsibilities (Staff Positions Only):
Coordinates the training deliverables required with the project. Maintains databases required by state and federal regulations. Must communicate effectively in English, both orally and in writing. Must be able to perform a variety of tasks often changing quickly from one to another without loss of efficiency and composure. Performs administrative support duties. Assists the Project Director and Assistant Director with coordination of Impaired Driving Training Programs. Monitors project timelines and identifies issues. Coordinates, compiles, and evaluates data received from a variety of sources relating to the effectiveness of the assigned program. Serves as liaison and maintains contacts with other university departments, students, faculty, staff, alumni, government officials, and distinguished guests. Designs and prepares reports and publications for distribution within the department, college, or division. Oversees the inventory of supplies. Works with SHSU webmaster in maintaining and revising the Impaired Driving Initiatives Program website. Prepares direct payments, interdepartmental payments, payment approvals, and requisitions. Distributes the training calendar. Processes payment for subcontractors. Prepares staff travel requisitions and reimbursements. Handles general correspondence. Coordinates billing for training initiatives. Assists with the preparation of Request for Reimbursement Reports. Handles P-Card purchases and monitors expenses. Monitors budgets, accounts, and expenditures. Prepares financial and statistical reports. Reconciles SHSU (Impaired Driving Initiatives) credit card monthly. Reconciles SHSU (Impaired Driving Initiatives) travel credit cards monthly. Performs office duties. Collects, reconciles, and maintains complex data. Coordinates and implements departmental processes. Reviews, revises, and interprets policies and procedures. Updates the financial section of the policy and procedure manual. Maintains office files, including expenditures pertaining to assigned training programs. Attends meetings and takes notes. Recommends to the supervisor internal policies and procedures, clerical functions, and work-flow to ensure effective and efficient operation. Directs assignments of clerical staff and determines work priorities and evaluates progress and deadlines. Performs other related duties as assigned.
