SENIOR ADMINISTRATIVE ASSISTANT , Music and Theater Arts (MTA) Section , to perform complex, diverse administrative duties in support of the section head, associate heads, administrative officer (AO), and section headquarters. Will support the head with operational, administrative, and academic functions and perform a variety of other administrative tasks. Assistance for the section head will include complex calendar management; coordinating travel; preparing donor materials to support development requests; acting as primary point of contact/liaison for section head; preparing meeting materials and organizing logistics; drafting correspondence; coordinating the flow of communications; attending monthly faculty meetings and taking minutes; overseeing deadlines for Visiting Committee agenda and background presentation materials; coordinating faculty materials and presentations for School Council; and working on special projects. Will also coordinate/oversee all aspects of case preparation for faculty promotions, reappointments, and hiring; organize all aspects of complex faculty searches; plan and organize events, including reserving space, sending invitations, tracking invitees, ordering food, AV, parking, decorating, etc.; monitor and order office/equipment supplies; assist the AO as needed; and perform other duties as requested.
Job Requirements REQUIRED : high school diploma; five years' administrative/office/related experience; strong organizational, problem-solving, analytical, communication, and interpersonal skills; meticulous attention to accuracy and detail; experience proofreading, editing, and writing; discretion and good judgment with confidential matters; ability to work independently, multitask, manage projects, and meet multiple deadlines in a pressured work environment with changing priorities and minimal supervision; advanced-level proficiency with Macintosh computers and Outlook, Word, Excel, e-mail, Adobe Acrobat, and PowerPoint software; and willingness/ability to quickly learn new systems. PREFERRED : bachelor's degree; in-depth understanding of MIT, SHASS, and MTA policies/procedures; and knowledge of MIT's administrative and financial policies/systems. Job #19061-6
