Award Administrator (Remote position) - Award Initiation and Management, Office of Sponsored Programs 15598
The Office of Sponsored Programs at West Virginia University is seeking applications for an Award Administrator. This position is responsible for providing assistance to the Award Initiation and Management sub-department (AIM) of the Office of Sponsored Programs (OSP). The post-award sub-department provides assistance to the WVU community in reviewing and understanding sponsor guidelines, federal policies and procedures related to grants and contracts, and reviews and interprets a wide variety of terms and conditions by adapting and incorporating them into the university financial system. Financial information is used to satisfy reporting requirements, establish property ownership, and fulfill compliance and regulatory requirements particular to each award.
The Office of Sponsored Programs, Award Initiation Management unit provides university-wide guidance regarding the post-award establishment and non-financial management of grants and contracts. Post-award establishment of awards delimits the financial tracking system that permits the University to expend awards, report on those expenditures, and identify unallowable charges. Therefore, the Award Administrator is directly involved in the award function of the Office of Sponsored Programs and its relationship to the Mountaineer Administrative Processes (MAP) unit.
AIM initiates the establishment of a funded project in the University's financial system (MAP), and the Kuali Coeus (KC) award management system. The Award Administrator will provide professional and technical expertise in the administration of awarded projects to faculty, departments, expert business office, deans and central administration. All Office of Sponsored Programs team members are expected to foster an environment that focuses on the AVP mission of collaboration, professionalism, and kindness through service.
In order to be successful in this position, the ideal candidate will:
Review, interpret, and enter award documentation into University grant and finance systems (MAP, KC, and the Banner Document Management System). Appropriate review includes the interpretation of award documents to ensure compliance with State or Research Corporation guidelines, policies, and procedures.
Provide clarification of administrative or financial information to sponsors, or internal contacts. Other important review components include the interpretation and identification of the following categories:
Type of Project (e.g. research, instruction, other sponsored projects)
Sponsor (federal, state, private, federal flow-through)
Type of contract (fixed price, cost reimbursement, clinical trial)
Period of Performance; cost sharing cost share requirements; and reporting requirements
If applicable, confirm that proper approvals have been obtained from the appropriate Compliance Office, including, but not limited to, the Office of Human 2 Research Protections, Office of Animal Welfare, Export Control Office, Conflict of Interest Office. Advise faculty, staff, and sponsoring agencies concerning the award policies and other aspects of the office.
Answer a broad range of questions from general information on the Office of Sponsored Programs, West Virginia University, and the WVU Research Corporation to specific agency guidelines.
Perform other duties as assigned by the AVP and Director of OSP, Associate Director(s), and the Sr. Sponsored Programs Administrator.
Bachelor's degree in a business related field or an academic discipline that provides the necessary organizational and problem solving skills required Or an equivalent combination of education and/or experience.
Two (2) years of experience involving:
Grant or contract administration, including federal, state, and private sponsors, preferred.
Database and financial systems, preferred.
Demonstrated ability to interpret and apply policies and procedures to daily work assignments.
Demonstrated ability to understand complex financial systems.
Demonstrated commitment to customer and team-oriented management.
Excellent communication and listening skills.
Excellent interpersonal skills to interact with various customers throughout WVU.
Ability to maintain sensitive information in confidence.
Demonstrated ability to productively and successfully work in a deadline-oriented environment.
Working knowledge of Microsoft Office products and Adobe Acrobat.
Certified Research Administrator, preferred
