The Hematology and Cellular Therapy division is seeking for a highly motivated Sr. Administrative Assistant to provide administrative support and contribute to our mission of providing word-class health care and the best quality service to our patients and communities.

Under general supervision, provides administrative support to the Division Medical Director, coordinating all administrative activities of the Division of Hematology and Cellular Therapy. Demonstrates initiative, resourcefulness and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the department and of the larger Health System in organizing and prioritizing work, establishing procedures and systems and ensuring the orderly and timely flow of business through the office. Coordinates the clerical and administrative staff workflow through the office. Coordinates and administers Human Resource and Payroll functions and participates in budget review and financial processes.

Primary Duties and Responsibilities may include, but are not limited to the following:

• Coordinates and maintains applicable program schedules and agendas; which may include tracking deadlines, deliverables, communication with management and/or stakeholders.
• Interfaces with other departments, staff, leaders and/or other partners in the administration of the program.
• Provide coordination of applicable logistics or information as directed by leadership.
• Organizes and coordinates the development of all featured events, outreach activities, meetings and materials/collateral in the promotion and administration of the program/project.
• May actively represent the program and/or the organization.
• Helps foster a collaborative and positive relationship building dynamic with internal staff and external parties.
• May be responsible for providing any applicable education, training, on-boarding and/or mentorship pertaining to program.
• Supports the development and management of program budgets; maintain and track all supporting budget/financial files and documents.
• Interface with other departments, vendors and applicable community parties as needed.
• Responsible for creating reports for management in the evaluation of the program performance or day-to-day operations. May also be responsible for documenting and tracking program compliance.
• May provide feedback to management and make recommendations regarding program operations and/or procedures.
• Provide general administrative support to the Division Director.
• Responsible for division and director record keeping and preparation of reports.
• Coordinate directors travel and external meeting planning.
• Aid in preparation of academic submissions.
