Dept Marketing Statement The Academic Personnel and Payroll Team serves nine academic departments/programs and a number of Research Centers and Activities.
Involves recommending, developing, implementing, administering, coordinating, and / or evaluating Academic Human Resources policies, labor contracts, statutes, programs, and procedures covering one or more of the following: academic recruitment, appointment, and advancement; compensation and salary administration; faculty welfare programs; visa procurement; benefits; payroll; training and development; faculty misconduct; and faculty equity.
Applies professional UC Academic HR and Academic Payroll concepts, organization and / or system wide policies, and procedures to provide guidance to supervisors and managers to resolve a variety of academic human resources and payroll issues of moderate scope and complexity.
Under general direction, the incumbent will be one of four members of the division's Academic Personnel and Academic Payroll Team. In addition to policy interpretation and implementation, the unit processes all recruitments, appointments, advancements, leaves, visa applications, payroll and time attendance activities for the division. The incumbent will serve as one the division's lead liaisons and will assist in administering all personnel and payroll actions for the Academic Student Employees (ASE) Unit, Non-represented student academic titles, and Courtesy Appointments (primarily Research Associates and Junior Specialist without Salary). The incumbent will also provide backup to other Academic populations such as temporary and senate faculty and non-teaching academic employees.
Pay, Benefits, & Work Schedule Salary Information: Salary range $26.34 - 28.74/hourly or $55,000 - $60,000/anually. Salary commensurate with skills, qualifications and experience.

Job Duties 45% - Serves as a divisional lead, using UCPath and DivData, for academic student employees and non-student employees in related titles, Postdoctoral Scholars, Courtesy Appointments, Academic Coordinators, and Professional Researcher and Specialist Titles. Serves as back-up for the following titles: Ladder-rank faculty, temporary faculty (e.g., Visiting and Adjunct Professors), Unit 18 employees, and MO payroll preparation.
10% - Administers the division's academic employee time and attendance reporting by using the campus web-based enterprise time and attendance system (CruzPay) to collect, audit and reconcile time and attendance records. Analyze, research and resolve discrepancies, providing guidance and conlsultation for departments.
10% - Participates fully as an Academic Personnel/Payroll team member by routinely providing assistance to others in the unit during peak seasons and as needed. Reviewing and approve HR actions completed by other team members.
5% - Under general supervision provides advice and guidance on personnel and payroll matters or other academic staff compensation programs, academic personnel policies and procedures.
5% - Under guidance from manager counsels student employees and other academic staff concerning work-related problems, work-eligibility (visa) matters such as J-1 processing, and leave of absence options.
5% - Assists departments with questions concerning eligibility, enrollment and payment issues.
5% - Elevates complex appointment issues to higher level Divisional Team members for resolution.
5% - Serves as a primary divisional liaison for the Academic Student Employees Unit: Advise supervisors and employees on new as well as existing programs, personnel policies and procedures, and the ASE/BX contract. Identify and alert unit supervisor of any potential employee relation issues.
5% - In conjunction with the appointing units, ensures timely review processing of appointments, reappointments, separations, and issuance of layoff notices, as appropriate.
5% - Under guidance from manager creates written documentation/correspondence, such as employment offer letters, concerning personnel actions and decisions.
Bachelor's degree in related area and / or equivalent experience / training.
