UWMC Radiology Support Services (Breast Imaging Clinic) has an outstanding opportunity for a Patient Services Specialist 1-Trainee or 2 (Temporary/Hourly, Day Shifts). The Patient Services Specialist will coordinate and provide clinic front desk patient support, reception and discharge activities, schedule appointments, check-in patients, provide initial triage, coordinate referral process, coordinate medical records, obtain and verify registration information/insurance, and perform other necessary activities to maintain clinic operations, answer telephones, pre-register patients, and schedule Radiology appointments. The Patient Services Specialist will schedule patients focusing on patient safety and reducing the likelihood of medical/health care errors.
Additional duties include: creating Epic orders and referrals for scheduling radiology exams to include exam specific CPT and ICD-10 codes, completing patient Registration needs by creating and updating demographics, guarantor accounts, and insurance payor’s, participation in use case improvement for the processing of external provider orders through the Right Fax to be scheduled in Epic. The Patient Services Specialist will act as a subject matter expert for their scheduling modality, think critically, and troubleshoot Epic errors for the team. Successful candidates will be able to function proficiently within their team to assist with the training of new staff and act as a go to team resource, and support their team Lead in day to day operational goals. The Patient Services Specialist will also assist in monitoring Epic schedule templates to ensure the group is performing proper resource level loading, and audit online ticket scheduling appointments for accuracy of order placement, referral completion, and resource selection. This position will analyze the No Show and Cancellation follow up report data to assess needs for reallocation of work queue orders and perform patient follow up where necessary. The Patient Services Specialist will collaborate with the department Supervisor and Business Manager, to assist in capturing workgroup behavior and provide solutions for complex work workflow inefficiencies including external referral submissions, financial access payor authorization, imaging protocolling and coding changes, and patient access to services to ensure we are meeting the needs of our patient’s as well as the departments' financial stability and success.

Duties & Responsibilities:
Reception Activities: • Employs excellent customer service skills. Ability to multitask in a fast pace environment. • Reviews clinic schedule daily. • Obtains patient demographic information and insurance information. • Provides general patient services. • Responds to patients’ needs and concerns as appropriate. Investigates complaints and works with office manager to find solutions
Appointment Scheduling: • Schedules appointments consistent with patient needs and clinic scheduling guidelines. • Assembles and sends appointment and other information. • Maintains current and accurate system by entering canceled and rescheduled appointments. • Coordinates and schedules ancillary appointments and consult appointments
Telephone Support: • Answers the telephone in a professional, courteous, and efficient manner according to UW Medicine telephone service standards; directs calls as appropriate. • Using clinic guidelines, gathers information on the telephone re: the nature of the patient concern. Triages calls to appropriate staff; obtains necessary information for the return call; initiates emergency procedure when necessary, uses appropriate documentation tools. • Communicates information on medical center programs to patients, referral agencies, University departments, physicians and the community. • Communicates basic information to patients such as insurance, parking, driving directions.
Referral Coordination: • Manages referral queue. • Obtains necessary insurance plan information. • Maintains ongoing documentation and tracks authorized referrals. • Ensures that all referrals are properly linked to appointments
Medical Record Activities: • Reviews daily schedules to identify required medical record requests. • Orders, coordinates, and distributes medical records as needed. • Prepares medical record according to clinic-specific procedures for patient visit. • Assembles and maintains satellite medical records according to clinic specific procedures.
General Duties: • Assists in orientating and training new staff. • Reviews email daily to stay current with clinic communication. • Inventories and orders office supplies and forms. • Sorts and distributes faxes and mail on a daily basis. • Ensures daily functioning of office equipment. • Utilizes on-line resources as required according to clinic practice and within University guidelines.
