The Division of Hospital Medicine is seeking a qualified candidate to provide a full range of administrative assistance and high-level support to the Division Chief and Division Administrator.
he qualified candidate will provide comprehensive support services for the daily operations which include, but are not limited to, the following:
Maintain long-term support for the Division Chief and Division Administrator’s calendar in Microsoft Outlook
Maintain short-term (1-year) administrative support for the Division Chief of Rheumatology
Prepare agendas, take detailed meeting minutes, distribute materials, secure physical/electronic meeting space for various meetings.
Screen, prioritize and respond to correspondence on behalf of the individuals supported in this role
Provide support for the Division Chief's research responsibilities including supply procurement, meeting coordination and travel arrangements
Organize, plan and conduct various division events as requested such as division retreats or town hall meetings.
Support high level division activities including faculty recruitment and faculty evaluations
Provide division wide administrative support of longer term initiatives for division leadership
Make travel arrangements, itineraries, and expense reports for faculty and visiting speakers
Maintain curriculum vitae for faculty, including biosketches and M-CV
Provide back up support across the administrative team as needed
Bachelor's degree or an equivalent combination of education and/or experience.
Ability to organize and coordinate a diverse workload with attention to detail while meeting deadlines in a timely manner. Ability to demonstrate flexibility when priorities and deadlines change. Excellent writing skills required. Capacity to exercise initiative, independent judgment, diplomacy, discretion and confidentiality with a positive, service-oriented attitude. Excellent organizational and interpersonal skills including the ability to work cooperatively and collaboratively with staff from various disciplines and backgrounds. Excellent computer skills with proficiency in MSWord, MSOutlook, PowerPoint, Concur, Adobe, and Excel.
