Supporting the Senior Director of Development, Integrated Marketing and the Senior Director of Annual Giving, Constituents Programs, the Development Assistant will provide support for complex and confidential projects. Administrative support responsibilities include: calendar support; handling a large volume of mail discriminately; coordinating donor and prospect activities in support of development strategies; assisting with the preparation, research and gathering of materials and information for meetings and events; and drafting, editing, and proofreading correspondence, briefings and reports for senior university officials. Fiscal support requires gathering fiscal data, assisting in preparing budgets, and monitoring budgets for discrepancies. The incumbent will also create and maintain department contracts, purchase orders, reimbursements, travel and other expense records as assigned.
The incumbent will also be responsible for project support in a wide range of areas including: resource administration, strategic planning, constituent engagement, donor relations and general administration management issues. As requested, manage special projects of a highly confidential and sensitive nature. Interact with all levels of the organization, including campus executive administration, other offices of development throughout the campus, and Advancement. The incumbent will be responsible for independent problem solving and for performing duties with high quality service, utmost courtesy and confidentiality, using a group-process approach to accomplishing work.
Some travel, overtime and weekend work may be required. Must be able to work a flexible schedule when required.
Proven senior level administrative experience as well as experience coordinating travel and reimbursement, processing and tracking expenses, and assisting in the preparation, research and gathering of materials and information for meetings and events.
Excellent writing, composition, spelling, and proofreading skills. Excellent understanding of the rules of English grammar and syntax, to write clear, concise correspondence and briefings.
Strong computer proficiency and ability to use software applications to maintain and retrieve current and historical information, compile reports and briefings, and create spreadsheets, and graphics. Success using email, word processing, and calendar applications.
Demonstrated working knowledge of Excel and Access in creating extensive and complex budget and financial reports.
Resourcefulness in independently finding appropriate solutions to complex operational and administrative problems and use of initiative in implementing solutions or making recommendations. Ability to anticipate problems and take necessary actions to mitigate potential negative effects.
Strong interpersonal and written and verbal communication skills with the ability to utilize total quality service as a work philosophy. Ability to interact with courtesy and professionalism with wide range of people from diverse backgrounds. Ability to develop and encourage a collaborative and positive environment among colleagues.
Proven ability to interact in a positive manner with diverse and demanding clientele, including major gift prospects, donors, volunteers, prominent social, business, government figures, and campus administrators, using a high degree of tact, diplomacy, and discretion, with emphasis on flexibility and professionalism.
