Serve as a liaison and representative for the Department of Radiology Chair’s office and perform a variety of communication functions on behalf of the department head and faculty. Coordinate interviewing and onboarding of potential and new faculty, Manage the daily operations of the department head’s office. This is a 1 year temporary position with a possible extention.
1. Primary administrative support to the Chair of the Department of Radiology, a growing department with over 40 faculty, fellows, residents and staff. Manage the daily operations of the department head’s office. This includes full responsibility of an extremely complex electronic calendar. Scheduling and management of the Faculty, Chiefs, and CSU meetings. This requires understanding of the organizational structure and serving as liaison on behalf of the department with the Medical School Dean’s office, Academic Health Center, University of Minnesota Physicians, Fairview Health System, Regent’s office and external constituency including professional organization heads, attorneys, business owners and patients. Cultivate and maintain strong working relationships with colleagues throughout the University, UMP and Fairview Systems. Coordinate travel, prepare reimbursements and draft correspondence. 50% of Time
2. Manage the interview process for the department for faculty positions, which include a complex schedule with department heads and faculty, travel, group dinners and confidential feedback. Meet with the department head to determine next steps in the interview process. Handling of confidential offer contracts and ongoing communication with potential faculty. Foster open communication with new faculty to handle any issues that may arise. 10% of Time
3. Initiate and manage the yearly annual review process for all faculty in the department. Communicate with the administrative center leadership for required changes in the review process. Track and maintain the database of faculty reviews and incentive items, insuring confidentially of the process and data. This is a multi-month process. 10% of Time
4. Responsible for planning department events including visiting professor dinner lectures, alumni reception, resident graduation, new resident welcome and various other meetings and dinners. Provide backup coverage for administrative staff.30% of Time

BA/BS with at least 2 years of experience or a combination of related education and work experience equal to six years
Demonstrated intermediate to advanced proficiency in Excel, Word, PowerPoint and other basic office applications and electronic communication/calendaring tools.
Aptitude and comfort level in working in highly dynamic, growth-oriented environment as a team player
Demonstrated ability to interact in a highly professional manner with faculty and other colleagues
Demonstrated outstanding attention to detail
Demonstrated to anticipate needs of department and individual faculty members and proactively work to meet those needs
