Overview The Site Liaison Coordinator reports directly to the Clinical Education Administrative Director and works primarily the Associate and Assistant Dean of Clinical Education. He/she is required to work independently and to have considerable initiative; demonstrates resourcefulness, and problem solving skills in applying a detailed knowledge of the responsibilities and functions; expected to follow any requirements regarding work and attendance as established by University rules, Department policies and procedures. Work involves planning, organizing, administrative duties and data-entry input including a wide range of related administrative duties; collaborates with other student coordinators on team on all-staff projects.
Communicate with core rotation sites to assess needs and provide support at minimum twice a month.
Coordinates site visits to the core rotation sites.
Help develop site visit agendas and documentation.
Help CED Deans with required CED reports
Help develop student feedback forms.
Assist the OMM and Faculty Development departments with didactics for students and Faculty Development at the core sites.
Maintains data base of all core site, affiliated site/Preceptors records in living document (eSpatial)
Maintain historical records of any previous affiliations or negotiations with hospitals, providers, and other training or proposed training sites.
Send periodic newsletter to all providers and site coordinators.
Send out a thank you/anniversary note to each preceptor annually.
Send out holiday greetings to all preceptors annually.
Send out a graduation notification to all preceptors active with the college.
Provide Technical assistance with New innovations to Adjunct Faculty
Notify all preceptors of on campus/virtual CME opportunities.
Participate and help facilitate surveys of training sites to obtain needed data for COM purposes, research, and/or ongoing site planning/development.
Responsible for Site Liaisons and Class Leaders meetings and minutes
Help with planning and implementation of CED events
Some travel to core clinical rotations sites will occur periodically
Make travel arrangements; process Travel Requisitions, travel and rotation reimbursements
Tracking/mailing PPE or other resources
Responsible for yearly Clinical Rotation Manual Update
Other duties can be assigned as necessary
Bachelors Degree preferred, minimum two years study at an accredited College/University or equivalent job expense at college setting
Excellent communication and organizational skills with ability to establish rapport and work with administrative staff, hospital administrators and physicians.
Ability to work with Microsoft Office with working knowledge of Outlook, Excel and Microsoft word.
Must have excellent writing skills
Must own and maintain an automobile for use to visit sites periodically.
Strong organizational skills
Ability to multi-task
Ability to interpret a variety of instructions
Ability to function with limited supervision and to prioritize and meet deadlines
