The College of Veterinary Medicine is seeking a Medical Administrative Assistant to provide administrative support for the faculty, staff, and students of the Small Animal Clinical Sciences Department, including Payroll, Internship and Residency support, Promotion & Tenure assistance, coordinating schedules, collecting evaluations, processing orders, answering phones, and maintaining office supplies.
Typical Duties and Responsibilities: Processes monthly and biweekly payroll for the department. Collects time sheets and leave forms and enters information into IRIS. Provides assistance to department's supervisors by providing leave balance information. Maintains calendar and binder of leave schedules for House Officers (Medical Interns and Residents). Obtains appropriate signatures for student leave request forms and maintains files. Provides assistance throughout a variety of programs, including the Veterinary Internship and Residency Matching Program (VIRMP), ORCA, and the Veterinary Summer Experience Program (VSEP). Provides assistance to faculty during the Promotion & Tenure process, including scanning dossier documents into website and reformatting CV's. Schedules and/or coordinates weekly events, House Officer Schedules, and room reservations. Shares important dates with technical team for input in intranet. Sends out and collects evaluation forms, maintaining file copies. Provides research assistance for faculty concerning journal articles. Places orders through Graphic arts for exams, handouts, business cards, etc. Assists with Fed Ex shipping. Logs and mails clay paws, cards, etc. Scans, emails, faxes, and shreds for faculty and staff as needed. Answers telephone and greets visitors. Maintains office supplies.
