This position is responsible for achieving in-depth knowledge of the specific Epic electronic health record application(s) assigned, and the operational and/or clinical workflows of the end users for the assigned application(s). The candidate for this role must exhibit superior communication skills in written documentation, presentations, webinars, e-learning, and when providing at-the-elbow support. The Enterprise Application Trainer is more than an instructional designer as they drive strategic training efforts for an enterprise consisting of three distinct institutions, each with unique needs. As a key role for the Enterprise Epic initiative, this individual will collaborate with appropriate technical and operational leaders from affiliated institutions.
This role is accountable for the success of the portfolio of training programs they oversee and must partner closely with their operational counterparts and Epic analysts to ensure curriculum design reflects current build, best practices, and respects the learning needs of the individual user groups. This position is directly responsible for the creation of all training content which includes: developing interactive eLearning simulations with Adobe Captivate; tip sheets; quick reference guides; exercise booklets; lesson plans; PowerPoint presentations; and recorded and live broadcasts. In addition, designing, implementing, and maintaining the build of the Master Training Environment (MST) is an ongoing responsibility to ensure the environment closely reflects Production build and workflows, with patient build that reflects the patient population of the enterprise. This position works closely with the IT Trainers who are responsible for the execution of classroom training and ad-hoc at-the-elbow support. As such, the ability to lead and provide timely feedback, while driving consistent high-quality training delivery from the IT Trainers is of paramount importance. He/she manages his or her own time to accomplish tasks with minimal oversight.
Create all levels of end-user training documentation (e.g. Tip Sheets, Classroom Curricula, eLearning Courses) for the assigned applications, and ensure workflows are accurately represented and validated by analysts, and operations.
Ensure the ongoing incorporation of rules, regulations, and guidelines in the design of clinical or administrative training programs. Maintain a working knowledge of clinical and patient administration operations. Demonstrate knowledge of nursing and provider nomenclature.
Demonstrate at least an intermediate level of mastery of the assigned applications' design and the approved end-user workflows.
Partner with technical teams on the set-up and maintenance of the training environments (hardware and software). Understand the systems development lifecycle (SDLC). Design and build relevant training scenarios and activities that reside in the training environment to be used and re-used in all classes.
Establish the Credentialed Trainer program in alignment with the Enterprise Learning Program vision, strategy, and requirements. Actively participate in the identification, interview process, onboarding, schedule management, and ongoing support & development of all Credentialed Trainers (CTs) under this role's purview.
Maintain and perform QA of the learning management system to ensure participants' attendance, scores, and overall progress are documented correctly immediately after training completion.
Participate in the analysis of participant training evaluation data to identify additional program needs, sessions to schedule, or areas of vulnerability for the organization.
Work with the Learning Program Manager/Director in the assessment of projects for scoping and timelines.
Work with various leadership committees and internal clients to integrate the learning solutions into existing infrastructure. Works with the IT Training team to ensure that client requests are being met in a timely manner.
Conduct key project management tasks, such as updating workplans and status reports.
Documents issues with training environments, classroom technology, and training documentation into designated trackers.
Facilitate classroom training sessions for the assigned applications (when needed).
Provide end-user support via telephone, e-mail, screen sharing, and at-the-elbow assistance (when needed).
Always be "on-stage", and demonstrate a client-first mentality by providing warm interactions, consistent follow-up, and ownership of issues presented to them.
Build trust and maintain strong working relationships with client stakeholders. Create end-user buy-in for the assigned applications by facilitating a positive training and support experience.
Act as a project advocate to generate enthusiasm and excitement for the electronic health record system. Articulate the value of the Epic platform to stakeholders across multiple levels of the organization, while prioritizing patient care and safety at all times.
Serves as a subject matter expert and point of contact for the Epic training participants and departmental leadership. Responds to Epic end-user questions escalated from operations or the IT Trainers and, when needed, obtains additional information and clarity from other Epic or operational subject matter experts.
Solicits feedback on training environment and/or curriculum issues from the IT Trainers, developing and implementing timely solutions to improve training operations.
Collaborates with Epic project team and departmental stakeholders across the enterprise to support Epic roll-outs, ongoing remediation training, and new hire training.
Lead, reinforce, and validate standard workflows and best practices during Epic go-lives, remediation training, and new hire training. Proactively identify and report any workflow or application issues to the Epic project team.
Work independently and have the capacity to self-start any initiatives or projects required to implement a successful training curriculum.
May be asked to work outside of normal business hours depending on enterprise needs.
Performs other related duties as necessary.
Requires a bachelor's degree or equivalent in education and experience, plus four years of related experience.
Certification in assigned Epic applications. If role requires multiple certifications, a minimum of one applicable certification is required for hire and all other certifications must be attained within the first three months of employment.
Superior oral and written communication skills
Demonstrated understanding of principles of effective adult learning and teaching strategies
Prior use of online learning tools (e.g., Adobe Captivate, Saba Learning Management System, etc.)
Extensive use of Microsoft Office Suite products, including Word, PowerPoint, and Excel
Ability to develop and deliver various types of instructional materials, such as synchronous learning, pre and post course assessments, and performance support literature.
Proven understanding of the traditional clinical or operational workflows adhered to by assigned stakeholder groups
Demonstrated oral and written communication and instructional skills
Ability to articulate, promote, and reinforce institutional policies and procedures impacted by Epic implementation
1 year of Epic experience as an instructional designer or analyst for the assigned application(s)
2 years of instructional design and delivery experience
Experience with at least one full software implementation lifecycle
Experience with large-scale organizational learning initiatives
Ability to work in surroundings with degree of dust, noise, odors, etc. without undue discomfort.
Ability to meet the physical demands required to deliver a combination of classroom, online, and one-on-one training.
Ability to read, write, and interpret documents.
Ability to sit for long periods of time at desk to perform job functions.
Ability to communicate effectively with clients and co-workers.
Must be able to travel within the tri-state area to deliver campus-based training programs
Normal routine involves no exposure to blood, body fluid or tissue. Incumbents are not called upon to perform or assist in emergency care or first aid.
