The MSU College of Osteopathic Medicine is seeking a dynamic team member to join the department of Admissions & Student Life. The successful candidate will provide executive assistance to the Associate Dean of Admissions and Student Life to include assisting with and managing calendar schedules; providing superior front line customer service via phone, email, and in-person interactions; ensuring appointments, meetings, and Office functions are accurate and appropriate; assisting with meeting preparation and materials for Associate Dean’s meetings, events and committees; assisting with the coordination of events and projects for the Associate Dean; assisting with reviewing and directing mail and email including acknowledging, organizing and drafting correspondence; maintaining sound judgment and strict confidentiality; interpreting and summarizing materials in order to keep the Associate Dean and other team members informed of pertinent information; maintaining a communication calendar by gathering information from each unit in order to keep the Associate Dean apprised of Office of Admissions & Student Life annual activities and interactions; serving as a liaison for the Associate Dean to develop, promote and maintain positive relationships with various offices, on and off campus; and as well as with directors and other team members to cross-collaborate on projects. This position will courteously and professionally interact with deans, directors, faculty, staff, students and external constituencies such as pre-health advisors. The candidate must be able to complete work with frequent interruptions, handle diverse and multiple tasks and prioritize work in the context of a busy, high-activity work environment. Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education with course work in typing, note-taking, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in maintaining account ledgers, word processing, spreadsheet, database, and presentation software; editing, composing correspondence, taking dictation; or an equivalent combination of education and experience. Substantial capability with Zoom meetings and webinars, the ability to manage both through the web, comfort with managing multiple meetings, and the organizational acumen to support meeting sign up processes in admissions systems.
Proven track record of providing proactive support in an executive environment; demonstrated leadership skills and abilities; commitment to quality and integrity; ability to multi-task; ability to manage complex schedules; ability to work independently and with confidence to take initiative and be proactive; exercises sound judgment and uses discretion in the dissemination of confidential information; familiarity and experience with university policies and procedures; detail-oriented with a high degree of accuracy, resourcefulness and efficiency; desire to go above and beyond; demonstrated excellent communication and interpersonal skills; ability to interact with varied constituents in a timely, courteous and professional manner; precise command of grammar, punctuation and spelling; a positive attitude and continuous learning for self-improvement; proficient experience with Microsoft Outlook, Excel, Word and PowerPoint software; comfortable using and learning new technology, software applications and processes, specifically Enterprise Business Systems (EBS); ability to work under pressure with frequent interruptions; ability to interpret information in order to coordinate projects and respond to questions; demonstrated work orientation that includes a service focus, problem solving, teamwork, adaptability to change and an appreciation of diversity in the workplace.
