The Executive Assistant to the Dean & Associate Dean will provide advanced, professional administrative support to the Dean and Associate Dean of the Graduate School of Public and International Affairs. The incumbent will be responsible for performing daily administrative and secretarial support functions, ensuring to operate in a highly professional and confidential manner. Incumbent will be responsible for drafting formal correspondence, memorandums, and other confidential documents as directed. As well, the incumbent will be responsible for organizing and maintaining a calendar and agenda for meetings, events, conferences, travel arrangements, and all other logistical needs for both the Dean and Associate Dean.
The Executive Assistant will act in a receptionist capacity, greeting visitors, answering phones, and answering or directing inquiries appropriately and on behalf of Dean and Associate Dean. The Executive Assistant will have significant exposure to senior level personnel within the University of Pittsburgh and will be expected to conduct all responsibilities with a high degree of professionalism and formality. As well, the incumbent must demonstrate the ability to manage the challenges of supporting senior level personnel, exercising flexibility, efficiency, and a strong customer service orientation at all times.
As Executive Assistant to the Dean and Associate Dean, the incumbent must exhibit exceptional communication and organizational skills and the ability to exercise independent judgment. As well, the incumbent must demonstrate the ability to operate independently and efficiently with a high degree of accuracy. Maintaining a high degree of confidentiality and sensitivity is essential. The incumbent must have demonstrated proficiency with the Microsoft Office suite, Outlook, OneDrive, and Zoom.
Prior Experience in an assistant/secretarial role is preferred. Experience in an academic setting is strongly preferred.
