The Administrative Assistant will provide administrative support to the Break Through Tech staff at the Cornell Tech Campus including: receptionist/ front desk duties; scheduling meetings; managing correspondence with students and other program partners; planning, organizing, and providing day-of-event support for activities such as on-site and online conferences, seminars, and symposiums; maintaining and updating applicable website content; assisting with travel arrangements; maintaining files, photocopying, scanning, and filing documents; preparing and processing reimbursements for faculty, staff and visitors; processing department billings and other requisitions; typing and editing presentations, and proposals; preparing basic reports and filling out forms for sponsored program submissions; tracking office supply inventory and ordering supplies. The Administrative Assistance will be responsible for providing day-to-day administrative support and ensuring the smooth running of the described operations. The Assistant should expect to respond to routine and non-routine inquiries and coordinates activities as necessary. Desired qualities include: demonstrated ability to be flexible and multi-task in a high-paced team environment; ability to meet deadlines; able to anticipate staff and faculty needs and actively seek solutions; ability to work independently and take initiative; attention to detail; verbal/ written communication skills; and positive demeanor with interpersonal skills.
This is a full-time position based at the Cornell Tech campus (currently, virtual) in New York City. The position will require participation in evening events. While not a requirement, individuals interested in a non-standard work schedule between hours ranging from 7:30 a.m. to 8:00 p.m. or weekends are encouraged to apply and note this in their cover letter.
Associate degree with 4 years office experience or equivalent combination of education and experience.
Demonstrated verbal and written communication skills, especially in working with a student population
Attention to detail.
Ability to work both independently and with a team, establishing and accomplishing priorities, coordinating projects and handling multiple tasks simultaneously often with frequent interruptions in a high-volume fast-paced environment.
Exemplary organizational skills with a keen sense of detail and ability to exercise sound judgment are required. High degree of initiative and creative problem-solving abilities are also necessary in this role.
Ability to handle highly sensitive and confidential information with tact and discretion.
Must maintain respectful, positive working relationships with all co-workers and the general public, and use good judgment in recognizing scope of authority. Must represent department in professional, mature manner, and a positive, welcoming demeanor is critical. Strong telephone skills and customer service oriented presence.
Proficiency in Word, Excel and Outlook is essential. The individual in this position must be able to use a variety of software applications to accomplish tasks; including word processing, database management, spreadsheets, presentation, calendaring, and web applications.
Bachelor's degree and/or more years of relevant work experience.
Proven success in administrative support within academic or similar environment.
Experience working with an undergraduate student population and an interest in the tech sector or advocating for gender equality
Proficiency in Word, Excel and Outlook essential.
