Rutgers, The State University of New Jersey, is seeking a Manager –Travel Program for University Procurement Services. Reporting to the Associate Director – University Travel and Card Programs, this position is responsible for and administering all aspects of the university travel program including the expense management tools. This is a high profile role that will interact across all levels in the organization and requires the ability to be tactful and sensitive to business needs while ensuring that appropriate controls and policy compliance is maintained.
Among the key duties of this position are the following:
Develops a best-in-class travel program that drives efficiency in purchasing processes and ensure compliance with policies.
Delivers program benefits to diverse stakeholder groups across the university and delivers a high level of exceptional client service and support to users
Ensures process control and accuracy of sensitive data, both personal and financial.
Updates policies and procedures based on feedback from focus groups and University Procurement Management.
Manages the travel agency relationship and technology aspects of the program
Generates operational reports and review these periodically with business managers to optimize processes and ensure reconciliations
Supervises staff as required to manage the program
Serves as back up support for the credit card and expense management programs as needed, and performs other duties as assigned
Minimum Education and Experience:
Bachelor's degree in a related field, preferably in business administration or related field, or an equivalent combination of education and/or experience.
A minimum of five (5) years of Travel Program Management work experience, some of which must include working with automated Travel and Expense Management systems.
Required Knowledge, Skills, and Abilities:
Must possess working knowledge of travel and card program and principles
Requires successful experience in leading cross-functional teams and to work collaboratively with clients at all levels of the university, and demonstrated experience in consensus building and team management
Must demonstrate the ability to work independently with little to no supervision and demonstrate experience resolving business problems using independent judgment
Must be detail orientated with strong organization skills
Must demonstrate ability to think outside of the box and creative approach to resolving issues
Must demonstrate the ability to work successfully under pressure and in high-demand and stressful situations.
Must be able to manage multiple priorities and independently achieve desired results
Must possess strong time management skills with a proven ability to meet critical deadlines
Strong analytical and negotiation skills
Requires computer literacy in industry standard software
Requires excellent oral, written, presentation, time management and customer service skills and have a strong business acumen, with the ability to adapt in ever-changing environment.
Ten (10) years of related experience
Experience with purchasing and account payable systems, preferably Oracle and Bank of America Works
Working knowledge of, purchasing, and accounts payable operations and principles.
Demonstrated project management experience
Higher Education experience
Active memberships in travel related professional associations – preferably GBTA or similar recognized associations
Bank of America WORKS software and Oracle programs along with the Travel Management Booking Tool
