Grants Assistant provides specialized pre- and post-award processing of grants and contracts from external sponsors. They support pre-award requests for proposals under award consideration and carry out a variety of awards management activities. Grants Assistant supports the Awards Management team with review of progress reports, cost share processing, and close-out tasks.
Grants Assistant also creates University accounts for sponsored programs; serve as liaisons between departments, OSR, and Accounting Services for Research and Sponsored Programs (ASRSP) in maintaining such accounts, and work with Grants Officers in support of constituency assignment responsibilities.
Maintains a departmental constituency for pre- and post-award tasks which includes review of standard and routine University wide sponsored research grant proposals. Provides basic administrative oversight for resulting awards
Reviews large-scale progress reports (e.g., Research Performance Progress Report for NIH) for Other Support accuracy, unobligated balance check, and supplement activity.
Conducts cost share review and process journals in financial system.
Serves as grants specialist for NU-Qatar and Chicago Biomedical Consortium portfolios.
Working under the direction of the Associate Director Awards/Internal Training, conducts large-scale Other Support review and other compliance checks for NIH “Just-in-Time” phase, or equivalent from other sponsors
Coordinates and manages non-financial grant and contract close-out activities, including final patent and invention reporting
Communicates in writing and verbally with research staff and faculty. May meet with research staff and faculty in conjunction with Grants Officer and Associate Director(s)
Performs other duties as assigned
Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience
Excellent math, analytical, and customer service skills.
1-2 years’ experience in the administration of sponsored research or equivalent
Familiarity with Microsoft Office Suite, particularly Excel.
Minimum Competencies: (Skills, knowledge, and abilities.)
Able to work under pressure and prioritize workload.
Must be able to work as part of a team and work under deadline pressures;
A strong customer service orientation and attention to detail are critical to this position.
1 to 2 years’ experience in the administration of sponsored research at an educational institution, in the federal government or at some other entity engaged in sponsored research
Intermediate level of knowledge of: Federal regulations related to research administration, including Uniform Guidance and RTC terms and conditions
Preferred Competencies: (Skills, knowledge, and abilities)
Able to analyze budgets, be proficient in MS Word and Excel, and be able to confidently use University enterprise systems.
