The Department of East Asian Languages and Cultures in USCâs Dana and David Dornsife School of Letters, Arts & Sciences is seeking an experienced Program Specialist. The qualified individual will assist in managing the daily administrative operations of the department, including trouble-shooting and problem-solving administrative and financial related issues: learn and enforce university and program policies; interface with faculty and provide administrative support for program-related events and committee-assigned projects; assist with program development and promotion; maintain files and correspondence with external and internal departments.
The Program Specialist position is critical to the mission and operation of the East Asian Languages and Cultures Department and the duties will include, but are not limited to:
Planning and executing events (lectures, conferences, workshops) related to professional development for EALC faculty and students, including all aspects of event coordination, from advertising to the EALC community to coordinating venue and catering, and securing logistical arrangements for guest speakers and conference participants
Liaise with university offsite vendors, manage purchasing and inventory of supplies and equipment
Work closely with coordinators for Chinese, Japanese, and Korean language programs, as well as faculty from cultural studies, including scheduling and program-related events
Assist with advisement and curricular matters connected to undergraduate program
Be familiar with degree requirements and work with Undergraduate Advisor in central Dornsife College Advising Office
Assist Chair and Director of Undergraduate Studies in managing and coordinating activities connected to the undergraduate program
Maintain department website and design promotional material
Process reimbursements and honoraria for guest speakers
Process book orders and faculty research and travel expense reports
Manage general calendar for departmental events
Screen day-to-day inquiries to the department, including incoming calls and email correspondence
Provide supervision and guidance to student staff
Maintain course evaluations files for faculty records
Other duties as assigned
